Job Summary

Compass Community Counseling is seeking an Administrative Assistant. The Administrative Assistant will support the front and back end of our business, including billing, client support, marketing, and ensuring our staff is supported.

Key Responsibilities

  • Administrative Duties:
  • Manage the reception area, creating a professional and welcoming first impression for patients and visitors at the Maryville, IL office
  • Serve as the initial point of contact for all incoming phone calls and patient inquiries
  • Maintain and order office and hospitality supplies
  • Assist with managing social media accounts and newsletter distribution
  • Provide support for meetings, workshops, and fundraising events
  • Generate reports and assist counselors with compliance to CompassCC record management policies, including CE logs, Performance Review tracking, and maintenance of employee files
  • Attend mandatory staff meetings and training as directed by Compass Community Counseling
  • Abide by and agree to Compass Community Counseling’s Code of Conduct and Care of Confidential Information policies
  • Medical Billing Duties:
  • Manage the registration of all new clients, including billing and insurance intake processes, verifying insurance coverage and eligibility
  • Collect payments from clients for services provided, consistent with the policy and rate for such services
  • Maintain accurate client billing records
  • Assist with resolving insurance claim errors, provide follow up on denials, appeals, and outstanding payments
  • Communicate with insurance providers, counselors, and clients regarding billing inquiries and unpaid accounts
  • Generate reports and assist counselors with compliance with CompassCC’s record management policies
  • Manage CompassCC’s scholarship and discount programs
  • Assist with accounts payable and receivable, including invoice processing and payment tracking
  • Reconcile financial transactions and ensure accurate record-keeping
  • Support the preparation of financial reports and budget tracking
  • Work closely with the bookkeeper to maintain accurate financial documentation
  • Assist with related administrative tasks as needed

Other duties may be assigned as needed.

  • Exceptional interpersonal skills with a clear enthusiasm for proactive client engagement
  • Comfortable learning and using Google Workspace for documents, spreadsheets, and forms
  • Comfortable learning and using our Electronic Health Record system (Ensora), and a very limited amount of medical billing
