Position

Unit Secretary

Responsibilities

  • Answers and responds to patient call lights/request promptly by informing appropriate staff member and ensuring effective resolution.
  • Answers telephone before the third ring and relays messages to appropriate personnel in a timely manner.
  • Performs secretarial duties in a timeframe consistent with hospital policies and within time allotted, including but not limited to maintaining and using appropriate records (admission and discharge sheet, transport log, assignment sheet).
  • Enters patient information accurately into computer in a timely manner and maintains physician call logs.
  • Greets and directs visitors professionally; handles deliveries and provides information competently.
  • Operates equipment per manufacturer recommendations and hospital policy; communicates needed repairs promptly.
  • Keeps Nurse Manager/Team Leader and Charge Nurse updated regarding unit issues in a timely manner.
  • Assists in orientation of new nursing personnel as assigned.
  • Prepares chart and kardex for each patient admitted, including labeling chart materials and inputting nursing orders into the system.
  • Maintains chart materials and tabs; adds required forms with patient name and medical record number.
  • Transcribes physician orders under RN supervision, alerts charge/primary nurse to stat orders or illegible writing, and avoids abbreviations where required.
  • Pulls copies of new orders and sends to pharmacy and nursing copies to assigned nurses, ensuring patient labels are on all copies.
  • Initiates calls for service/repair as necessary and informs the Nurse Manager.
  • Troubleshoots problems with computers.

Minimum Requirements

  • 1-2 years of experience, preferably within healthcare.
  • High School or GED equivalent, plus medical terminology preferred.
