Overview

  • Position supports an assigned patient care department with clerical, receptionist, dispatching and/or admitting and discharge duties.

Responsibilities

  • Greet and admit patients upon arrival to the department. Accurately prepare patient identification bands and name tags.
  • Welcome visitors, respond to requests for assistance, and assist with delivering items to patient rooms.
  • Collect and distribute department mail.
  • Communicate transfer information properly when patients are transferred to another facility.
  • Maintain stock levels of office supplies.
  • Perform clerical admission and discharge functions.
  • Schedule follow-up appointments as requested by physicians.
  • Arrange transportation for patients as necessary.
  • Organize and maintain patient and department records for accurate documentation.
  • Fax copies of patient charts as needed for transfers or follow-up care.
  • Coordinate and facilitate ongoing intradepartmental and interdepartmental communication for efficient operations.
  • Provide timely communications with other departments regarding admissions, discharges, inter-hospital transfers, or patient status changes.
  • Answer telephone calls courteously, identify self and department, and route to appropriate staff.
  • Respond to patient call bells promptly and dispatch appropriate personnel.
  • Provide information about patient or department routines in accordance with the hospital’s policy on Release of Patient Information.
  • Coordinate transportation needs for timely and efficient intradepartmental and interdepartmental movement of patients.
  • Initiate consults to other services as needed.
  • Maintain communication with other patient care departments (e.g., Dietary, Lab, Telemetry, Video Monitoring) to ensure patient care needs are met.

Qualifications

  • Education, Certification, and/or Licensure: High School Diploma or equivalent.
  • Preferred Qualifications: Graduate of a Medical Assistant program or secretarial school.
  • Experience: One (1) year of administrative or clerical experience.

Physical Requirements

  • Manual dexterity for operating standard office equipment.
  • Prolonged periods of sitting; may involve walking to various areas within the department or medical complex (elevators and/or stairs may be used).

Skills And Abilities

  • Basic computer knowledge and ability to operate standard office equipment.
  • Knowledge of medical terminology.
  • Proficient in Microsoft Office.
  • Excellent written and verbal communication skills.
