Overview
Under occasional supervision, performs responsible legal secretarial, clerical and bookkeeping work in support of efficient and effective Magistrate’s Court operations, including the preparation and maintenance of accurate court records. Performs related work as assigned. Reports to the Magistrate.
Essential Job Functions
- Establishes, maintains and disposes of case files.
- Schedules all hearings and trials; coordinates scheduling with judges, Solicitor and attorneys.
- Pulls and prepares files for court sessions; prepares daily docket reports.
- Prepares juror summonses; draws and swears in jurors; calls attendance roll of jurors; processes juror payments.
- Serves civil process papers as necessary.
- Assists judges in the courtroom as scheduled.
- Assists in advertising and coordinating Magistrate sales.
- Prepares, processes, indexes, files and/or submits/transmits court documents and records, including but not limited to court orders, court notices, tickets, warrants, bond forms, claim and delivery orders, verdict forms, judgments, summonses, complaints, subpoenas, appeals, commitments / releases, remands, expungement orders, etc.; prepares routine records, ledgers, reports, indexes, legal notices, correspondence, etc.; secures all records as required.
- Assists attorneys, defendants, court personnel, law enforcement personnel, jurors, magistrates, and others in completing various legal forms as required for court, and in obtaining information and copies of court documents.
- Enters court / case information into computer database; generates computer reports as required.
- Establishes and maintains an effective filing system for administrative and legal records and reports.
- Prepares / types routine and confidential correspondence, reports and other documents from dictation or instructions.
- Answers the telephone; provides accurate information to callers and/or forwards calls to appropriate personnel; greets and assists office visitors.
- Calculates, receives, receipts and posts fines, fees and other payments; balances daily totals; prepares deposits; reconciles bank statements and prepares required financial reports.
- Performs other secretarial and clerical work, including but not limited to scheduling travel and meetings for Magistrate, copying and filing documents, retrieving files, sending and receiving faxes, processing mail, assisting with budget preparation and reporting, etc.
- Receives and responds to public / County staff inquiries, complaints and requests for assistance with regard to court policies and procedures.
- Receives, reviews and/or processes civil forms, expungement orders, warrants, etc.
- Refers to policy and procedure manuals, computer manuals, laws/codes/ordinances, directories, etc.
- Operates a variety of equipment such as a computer, printer, typewriter, fax machine, copier, calculator, telephone, etc.
- Uses clerical and computer supplies.
- Interacts and communicates with various groups and individuals such as the immediate supervisor, co-workers, other County personnel, law enforcement personnel, attorneys, court personnel, defendants, plaintiffs, jurors, S.C. Court Administration personnel, various other government agencies, and the general public.
- Accompanies supervising magistrate to assist as necessary for weekend Bond Court rotations.
Non-essential Job Functions
- Performs light housekeeping duties as necessary in the office and court rooms.
- Performs related duties as required.
Typical Qualifications
- Requires an Associate’s degree in paralegal studies, secretarial science or related field supplemented by two to three years of experience in office administration and support, preferably in a legal or court environment, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.
