The Administrative Assistant III will support the Thoracic Surgery Division at Beth Israel Deaconess Medical Center in Boston, MA. This is an on-site position, working Monday – Friday, either 8:00 AM–4:30 PM or 8:30 AM–5:00 PM. After six months, the incumbent may work one day remotely per week.

Job Description Provides administrative support to physicians in clinical, academic, research, and leadership roles.

Essential Responsibilities

Answer and screen telephone calls. Take accurate messages or direct calls to the appropriate person. Greet patients, families, visitors, and staff. Respond to requests in a timely manner and provide clear, accurate information within scope of knowledge and authority.

Update patient demographic and insurance information as necessary and obtain specialist referrals for all appointments. Schedule patient appointments using scheduling tools and resources. Coordinate and communicate ancillary appointments and procedures with other hospital staff as needed.

Obtain patient information and materials from referral sources. Prepare patient records for clinical activities and maintain records for physicians. Act as liaison with other departments and external customers in a calm, supportive manner. Handle confidential information appropriately and explain policies and procedures when necessary.

Maintain physicians’ administrative and clinical calendars. Type correspondence, manuscripts, and documents that may require complex formatting. Compose routine correspondence. Transcribe letters and patient notes as needed for physicians and/or facilitate notes and letters in the CCC system. Prepare and distribute materials for meetings and committees.

Actively assist and support licensed practitioners by queuing prescriptions for renewal and performing the initial review of medication listings for accuracy in the electronic medical record (Web OMR).

Required Qualifications

High School diploma or GED required; Associate’s degree preferred.

3–5 years of related work experience required.

Experience with computer systems, including web-based applications and Microsoft Office (Outlook, Word, Excel, PowerPoint, Access).

Customer Service – Provide a high level of customer service to patients, visitors, staff, and external customers in a professional, service-oriented, respectful manner using skills in active listening and problem solving. Remain calm in stressful situations.

Physical Nature of the Job

Sedentary work: Exert up to 10 pounds occasionally while carrying, lifting, pushing, or pulling objects. Sit most of the time, with walking and standing required only occasionally.
