Hourly Responsibilities

Oversees the hiring and training of Student Assistants (SAs) in the Dean’s Office Coordinates scheduling of SAs to ensure front desk occupancy and customer service Delegates tasks to SAs for business continuity and a productive environment in the Dean’s Office Mentors and provides professional development and expertise to SAs Recommends initiatives and implements changes to improve quality and services; identifies problems, presents recommendations for improvement of processes and practices; maintains contact with customers and solicits feedback; maximizes productivity through tools, training, and performance initiatives Manages administrative operations of the department in collaboration with the Assistant Dean and department chair Provides administrative support to the Dean, Associate Deans, and department staff; handles calendar, minutes, travel coordination, expense processing, and related tasks Acts as primary contact for faculty, staff, students, and external constituencies; responds to inquiries with data, forms, and other necessary information Manages front desk scheduling, inbox delegation, and routing of phone calls and mail Provides support for meetings, events, guest speakers, room reservations, catering, and reimbursements Maintains the department calendar, deadlines, and departmental supplies Supports annual SCU Bulletin updates in coordination with Department Chair and Faculty Proctors exams as needed and coordinates ABET accreditation documentation Provides backup support to other engineering departments as needed Coordinates student advising and assists with purchasing, book orders, and related tasks Qualifications

Education/Experience: Bachelor’s Degree preferred; three or more years of related administrative experience in higher education or equivalent Knowledge: Advanced proficiency with office software (Word, Excel, PowerPoint); experience with Workday; commitment to SCU’s Jesuit mission and values Skills: Excellent planning, organizational, time-management, and communication skills; creative problem-solving; ability to work with diverse groups Abilities: Ability to maintain confidentiality, multi-task, and meet deadlines Work Environment & Physical Demands

Typical office environment; predominantly indoor, with occasional travel or events off-campus May require occasional work outside normal hours for events Other
