Job Summary

The Accounts Payable Specialist is responsible for managing the company\'s outgoing financial obligations. This includes processing vendor invoices, preparing payments, reconciling statements, and ensuring accuracy and timeliness in all accounts payable functions. The ideal candidate will have strong attention to detail, organizational skills, and a working knowledge of accounting principles.

Key Responsibilities

Review, verify, and process vendor invoices following company policies and procedures. Match purchase orders, receiving documents, and invoices. Ensure prompt and accurate payment of invoices via check, ACH, or wire transfers. Reconcile vendor statements and resolve discrepancies in a timely manner. Maintain accurate and organized records of all payable transactions. Respond to vendor inquiries and maintain positive vendor relationships. Assist in month-end closing processes related to payables. Monitor accounts to ensure payments are up to date and coded correctly. Collaborate with internal departments (Procurement, Receiving) to resolve issues. Ensure compliance with internal controls and audit requirements. Participate in other ad hoc projects as required.

Qualifications

Education: High school diploma or equivalent required. Associate or bachelor\'s degree in accounting, Finance, or related field preferred.

Experience: 3+ years of experience in accounts payable or general accounting. Experience with SAP and familiarity with ERP systems and automated invoice processing tools is a plus. Knowledge of US GAAP and financial reporting principles is a plus.

Skills: Understanding of 3-way match process. Knowledge of sales tax and 1099 reporting. Strong attention to detail and accuracy. Strong problem-solving skills and ability to work independently or as part of a team. Ability to communicate effectively with internal teams and external vendors. Excellent organizational and time-management skills. Proficient in Microsoft Excel and other Office applications.

Working Conditions

Standard office environment with regular working hours. Occasional overtime may be needed during month-end closing periods.
