Administrative Coordinator – Division of Geriatrics
Job Summary
The Division of Geriatrics is seeking a part‑time Administrative Coordinator to support projects across all mission areas. The Coordinator will work closely with the Division Manager and the Core Administrative Team to ensure operational success and longevity of the Division.
Key Responsibilities
Coordinate events and manage day‑to‑day business operations, scheduling, and division activities.
Submit IT/facilities tickets and work orders and maintain supplies and inventory.
Process purchase orders, expense reports, and financial reconciliations, including invoicing, check deposits and cost transfers.
Support HR functions, including ticket handling, recruitment efforts, and staff onboarding.
Create meeting agendas, take minutes, run reports and generate charts for team meetings.
Assist with program‑specific projects for faculty and program directors, as needed.
Maintain division communications and marketing materials, such as Twitter feeds, GeriNews, and website updates.
Required Qualifications
Bachelor’s degree in a related field or equivalent experience.
Minimum 1+ year of directly relevant experience.
Excellent judgment, communication, and interpersonal skills.
Exceptional organizational skills and ability to multitask with demanding timeframes.
Proficiency in Microsoft Office, Teams, project management software, and survey tools (Qualtrics/SurveyMonkey/Doodle).
Discretion and confidentiality in all work.
Event planning and coordination experience.
Experience working with diverse stakeholders.
Preferred Qualifications
Finance experience (budget or expense reporting, contracts, ledger reconciliation).
Experience in a research or academic setting, preferably within a UC system.
Experience with social media platforms and website management.
Compensation
Hourly rate: $29.05 – $53.50 (subject to UCSF policy and union rules).
