Administrative Assistant Duties
Answer, route, and return phone calls accordingly
Assist with filing of documents as needed
Process Accounts Payable and Receivable according to policy
Assist with weekly financial deposits
Assist in making Social Services appointments for clients who call or walk in
Maintain electronic calendars as requested; assist with e‑scheduling meetings
Maintain records related to program participants, volunteers, and child safety
Maintain all upkeep of equipment used for programs; coordinate repairs when needed
Provide other administrative assistance to the Corps Officers and other staff as needed
Assist with special or seasonal projects as assigned by the Corps Officers
All other reasonable duties as assigned by Corps officers
Volunteer Coordinator Duties
Act as point of contact and intake for individual and group volunteers for the SF Metro area
Develop strong, working relationships with Program Managers, Corps Officers and DHQ staff to gain an intimate knowledge of Salvation Army programs and volunteer needs for the SF Metro area
Manage database of volunteer opportunities suitable for individuals and groups, including development of volunteer positions and coordinating descriptions
Work in coordination with the DHQ communications team and SF Metro Office to connect volunteers to opportunities through social media, newsletters, and volunteer management software as a resource for the field
Create and maintain resources to assist with the orientation, training, paperwork, procedures, and record keeping of volunteers assigned to the SF Metro area
Qualifications
B.A. Degree preferred or equivalent experience
Excellent computer skills; proficiency in Microsoft Office Suite and Canva (preferred)
Previous Administrative Assistant experience or related position
Ability to effectively communicate the Mission and purpose of The Salvation Army to staff
Ability to maintain integrity and the highest level of confidentiality
Working knowledge and ability to use Microsoft Office, including PowerPoint, Word and Excel
Excellent verbal and written communication skills
Highly detail oriented and outstanding organizational skills
Commitment to Christian education and principles is preferred
Equipment Used Standard Modern Office Equipment: Xerox Machine, HP computer, Cisco phones
Physical Requirements
Ability to lift up to 25 lbs. (usually file boxes)
