Overview

The Booking Coordinator will support the booking department in the research, coordination and booking of events through talent buying, event coordination, data entry and management, project execution, and high-level administrative work. The individual in this role shall also be responsible for helping organize and maintain the booking department administrative functions. Included but not limited to interacting and following up with clients, staff, and booking contacts (agents, promoters, and producers), providing project status updates, scheduling meetings, maintaining booking management systems, and coordinating industry events. Other responsibilities include providing detailed reports, building spreadsheets, creating talent offers, and distributing information to the booking department and the industry (agents, promoters, and producers). Responsibilities

Contract review, markup and execution for various venues: including but not limited to Fox Theater in Oakland, Channel 24 in Sacramento and other venues of similar size from 1500 cap - 2800 cap. Book local artists as support when requested. Manage and screen communication for internal and external industry contacts. Manage and coordinate communication for show confirmations and on sales with internal Marketing department, Box Office department and industry agencies. Facilitate with the booking team and clients in ongoing research and pulse of the industry. Research new, up and coming artists, and distribute info to talent buyers and the rest of the booking team. Manage venue availability calendars, placement of holds and coordination of one off opportunities. Show confirmation distribution: Disseminate details for shows & events with offers & on-sale information for booking department Distribute show updates to booking, box office, marketing, production, operations Work with venue staff to collect, organize and distribute booking information and communication. Track high volume of events data to support booking department\'s efforts and outreach. Serve as a key member of the booking team, participate in meetings and discussions, deliver new and exciting ideas on artists, processes, and best practices. Office duties and high-level administrative office support as required. Festival duties & one off events - Outside Lands, Golden Gate Park Concerts, Civic Community Events

Coordinate announce & on-sale:

communication with artist teams to ensure deliverables are being met: announce, social posts, websites, etc. (in conjunction with Booking Coordinator Team) Collaborate with booking team to collect all artist assets & contact information from agencies/management Artist Relations

- Helps to create and maintain a friendly environment for artists and venue staff with the artist relations department. Insuring advances and communicates with management are addressed and work on solutions (in junction with Booking Coordinator Team) Booking Department & Executive Responsibilities

Projects assigned when needed, included but not limited to: read articles & keep ears to the ground for new, up and coming acts. Analyze other promotional product company’s offerings to ensure we continue to be competitive with our top products as well as looking for new product offerings. Abilities Required
