Overview

Program Secretary- Behavioral Health Horizon Health is seeking a program secretary to work at Johnson Memorial Hospital in Franklin, IN. The Program Secretary is responsible for the Behavioral Health Program’s daily administrative duties and providing assistance to the Behavioral Health Program Director. The Program Secretary also has responsibility for performing Human Resources related duties such as applicant tracking and onboarding.

Responsibilities

Answers the phone, responding to all requests for information

Schedules unit assessments, meetings and appointments as appropriate

Greets visitors, patients, and their families coming to the Unit (as assigned)

Identifies areas needing improvement and utilizes the facility performance improvement process. Actively participates in department processes as requested

Manages all CQI+ paperwork, submission, data entry, communication and audits

Collects required documents for PAF/On-Board processing (e.g., offer letter, ARC, non-Compete, if applicable) and ensures the most current form/version is used

Liaises with hospital on orientation scheduling; ensures orientation is completed in a timely manner

Coordinates receipt of I-9 forms to meet USCIS requirements

Creates new hire/rehire personnel files and maintains corporate personnel files for employees

Maintains new hire packet documents and distributes as required

Responds to intake calls and records information for the Clinical Access Coordinator

Manages HBIPS data auditing and collection, including monthly audits of patient charts (EMR) and data entry into the MHO database; reports any shortcomings to the Program Director

Keeps materials organized and available with information regarding unit activities (staff development, shift assignments, nightly chart audits, daily safety reports, SECURE training, incident reports)

Tracks training including Core Competencies, SECURE, HIPAA, etc.

Inputs daily census into HorizonPlus; generates monthly reports and uses data for program statistical reports; provides reports to SVPO, VPCE, program director and client hospital leadership as requested

Utilization Review: initiates pre-certification calls for private insurance and managed Medicare/Medicaid; provides concurrent reviews and tracks outcomes; collaborates with the Denial Management Coordinator on appeals

Prepares payroll documents (time sheets, Verification of Hours, exemption reports, PAFs) and maintains organized records; performs daily time clock adjustments

Ensures facility safety and reports deficiencies to the Program Director; maintains confidentiality of information

Aids in admission processes by coordinating with business and admitting offices; gathers descriptive and financial information as needed and routes to appropriate personnel

Prioritizes tasks to maximize productive use of time and supports the needs of the Units and Program Director

Maintains professional communication with peers and leadership; supports organizational change through effective communication

Reviews newly admitted patient accounts for eligibility/authorization daily; corrects issues and reports to the Program Director

Assists in submission of regulatory reports (PA Dept. of Health, CAP, Joint Commission)

Prepares and disseminates monthly reports and completes follow-up on activities; prepares census and PIORS documentation as required by corporate offices

Collects data to provide feedback to customers/suppliers to improve work

Maintains schedule for filing court paperwork and hearings; collaborates with court personnel

Reviews and evaluates invoices and expense reports for accuracy

Classifies, sorts and files correspondence and documents; orders office supplies; oversees maintenance of office equipment

Other duties as assigned

Qualifications

High School or GED required

1-5 years of experience in a similar position and/or industry

Proficient in software applications

Valid driver’s license and use of an automobile required
