Pay Range $44,653.00/yr – $64,940.00/yr

Summary A Medical Support Assistant (MSA) in the Veterans Health Administration (VHA) performs duties such as scheduling patient appointments, tracking and reviewing electronic orders and consults, documenting medical records, verifying insurance information, and coordinating patient care activities in accordance with VHA national scheduling guidelines.

Qualifications

United States citizenship (non‑citizens may be appointed only when qualified citizens cannot be recruited).

Experience: Six months of clerical, office, or customer service work demonstrating the ability to acquire the required knowledge and skills.

Education: One year above high school, or two years above high school, or an equivalent combination of education and experience.

Knowledge, Skills, and Abilities (KSAs):

Excellent communication and interpersonal skills with diverse patients and healthcare team members.

Proficiency with office automation equipment and software (e.g., electronic health records, scheduling programs, insurance capture systems, fax, and phone systems).

Basic medical terminology understanding for supporting patient care.

Accurate documentation of patient messages and physician requests.

Independent performance of patient support tasks, including appointment scheduling, rescheduling, and cancellation.

Professional interaction via telephone, in person, and electronically with internal and external customers.

Customer service skills to identify concerns and facilitate satisfactory resolution.

Knowledge of medical terminology at a level sufficient to communicate clinical staff instructions to patients.

Ability to operate computerized medical records and scheduling systems while preserving patient information.

Duties

Schedule and reschedule patient appointments for treatment.

Interview patients for appointments and refer to appropriate medical specialty clinics.

Provide information and resolve VA Handbook complaints.

Review and document medical outpatient and inpatient electronic health records.

Verify third‑party insurance and update information in the Insurance Capture Buffer (ICB) system.

Obtain medical information from patients and coordinate information related to patient care and services.

Assist in emergency and non‑emergency transfers to other VA facilities or private hospitals.

Attend clinic staff huddles to determine daily needs and monitor appointments from multiple electronic sources.

Enter no‑show information and update demographics and insurance data when patients check in.
