Responsibilities
Handle administrative duties related to the legal department, including following up on legal matters with stakeholders, external counsels or third parties as may be assigned by direct manager.
Review and maintain corporate records such as memorandum and articles of association, trade licenses, resolutions, directors/shareholders changes, amendments, etc., and manage the legal entities online platform.
Support the execution of legal documentation and contracts, including facilitating signatures, filing, archiving, and training users on the contract management system.
Create and manage a legal SharePoint site and libraries for templates, forms, and documents that stakeholders can use.
Maintain organized and up-to-date files and records, including litigation matrix and litigation reporting on the system.
Ensure proper indexing and timely filing and archiving of documents for easy retrieval when needed.
Draft, prepare and execute simple legal documents; ensure timely filing of regular reports and required submissions.
Support legal operations such as submitting legal vendor invoices on the system, following up with finance on legal vendor creation and payments.
Help with preparing, tracking, reporting and processing legal expenses.
Project‑manage cross‑department adoption and coordination of legal matters and projects.
Coordinate with PRO, Notary Public and government authorities on matters and tasks assigned by direct manager.
Requirements
A degree in a discipline that supports business and/or legal work.
Proven experience as a paralegal or legal assistant of at least 5‑6 years, with a strong understanding of legal procedures and terminology.
Proficiency in MS Office basics such as Word, Excel, PowerPoint, Teams, SharePoint, etc.
Advanced Microsoft Outlook and Microsoft Teams skills, including ability to manage multiple calendars across different time zones, coordinate email correspondence, and schedule meetings.
Ability to work and deliver under pressure and tight timelines.
Highly organized with great attention to detail, ability to multitask and keep projects and matters on track.
Excellent communication skills – both written and verbal – in English and Arabic.
