Permanent Responsibilities
Provides administrative support services to the School of Communication and Information (SCI) and SCI Chair in a wide range of matters ensuring the smooth running of the school. Manages daily operations of the school office, serving as the principal liaison for the school to UH offices and entities. Evaluates, prioritizes, and recommends appropriate information for dissemination to school faculty, staff, students, and alumni. Develops, organizes, and maintains paper, electronic, and confidential files for the school, including personnel, student records, course documents, inventory, and maintenance contracts. Works with the College's Shared Services team and provides school-level budget, fiscal, and human resources support. Assists the SCI Chair with the administrative processes for school personnel actions, including leave requests, the maintenance of the school's lecturer pool list, and the coordination of appointment letters for lecturers and graduate assistants. Assists with the administrative processes for fiscal documents for the school, such as coordinating purchases, researching items, soliciting bids if necessary, travel documents, reimbursements, inventory, etc. Works with the SCI Chair on the process of faculty promotion and tenure, and monitors status of faculty contract renewals and periodic reviews. Recruits, supervises, and trains student assistants. Assists with scholarship programs of the SCI; monitors availability of funds, publicizes available awards and winners, coordinates review of applications, ensures delivery of awards, and updates donors about scholarships awarded. Processes procurement and payment activities for UHF accounts, including scholarships, fellowships, student awards and research grants through UHF. Assists with the planning and coordination of the SCI events and other academic activities. Assists the SCI Chair with academic responsibilities, including coordinating textbook orders. Assists the SCI Chair with special projects aligned with college- and university-wide program mission or objectives. Coordinates parking and parking passes for SCI. Other duties as assigned. Minimum Qualifications
Possession of a baccalaureate degree in business administration, education, arts and sciences, or related field and 0 year(s) of progressively responsible professional experience with responsibilities for administrative support and/or program management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated. Functional knowledge of principles, practices and techniques in the area of administrative support and/or program management demonstrated by knowledge, understanding and ability to apply concepts, terminology. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with administrative program support. Demonstrated ability to recognize problems, identify possible causes, and resolve the full range of problems that may commonly occur in the area of administrative program support. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals. Demonstrated ability to operate a personal computer, apply word processing software, access and maintain digital documents, spreadsheet software. Demonstrated ability to successfully manage, prioritize, and complete multiple tasks with competing deadlines. Demonstrated ability to work independently, as well as with a team. Demonstrated ability to follow oral and written instructions. Desirable Qualifications
Post-baccalaureate professional work experience in business management and/or administrative and program support. Experience in providing administrative support in a higher education setting. Familiarity with UH, RCUH, and UHF fiscal and personnel policies and procedures. To Apply
