People Operations Manager at AI Fund

Role Overview As a People Operations Manager at AI Fund, you’ll play a critical role in building and maintaining the HR infrastructure that enables our team to grow and thrive. You’ll manage our HRIS and PEO, oversee compliance and benefits administration, and coordinate with vendors, EOR partners, and immigration counsel to make sure everything runs seamlessly behind the scenes.
Responsibilities
Own and optimize HR systems: manage our HRIS and PEO, ensuring data integrity, process efficiency, and a seamless employee experience.
International employment operations: oversee immigration processes including employee visas and green cards; evaluate risks and compliance considerations of hiring internationally through our EOR and advise on global hiring strategy.
Vendor management: serve as the point of contact for HR vendors, managing renewals, performance, and issue resolution; lead evaluation and onboarding of new vendors across HR functions.
Compliance and audits: maintain company compliance with federal, state, and local employment laws; oversee required trainings, documentation, and audit readiness.
Benefits administration: partner with leadership to select, implement, and manage employee benefits programs (medical, dental, vision, 401(k), etc.) and act as liaison between employees and benefits providers.
Leave management: define, document, and administer leave policies (PTO, parental, medical, etc.), ensuring compliance with applicable regulations and consistent employee experience.
Offboarding and deprovisioning: manage end-to-end employee offboarding, ensuring timely deprovisioning and final pay compliance.
Policy and documentation: maintain and evolve the company’s HR handbook and internal wiki, ensuring they reflect current policies and practices.
State registrations and taxes: coordinate with the PEO (and eventually internal resources) to manage multi‑state registrations, tax accounts, and compliance as needed.
Requirements
4+ years of experience in HR operations, people systems, or a related role within a fast‑paced, scaling organization.
Experience managing immigration cases (visas, green cards, sponsorship) in partnership with immigration attorneys.
Hands‑on experience with HRIS and PEO systems such as Justworks or Rippling.
Understanding of U.S. employment law and compliance requirements.
Experience hiring internationally and familiarity with international employment risks and considerations.
Demonstrated operational excellence with strong project management skills, able to manage multiple priorities simultaneously with strong attention to detail.
Excellent communication and organizational skills, with the ability to proactively create clarity for internal stakeholders.
High degree of integrity and discretion when handling sensitive employee data and situations.
