About Unto Labs

We are looking for an Executive Business Partner who can partner closely with our leadership, helping manage operations, events, administration, payroll, immigration, and high-impact tasks so that our leadership can stay focused on strategy and engineering.

Role Overview / Why This Role Matters As an Executive Business Partner (EBP), you’ll serve as a trusted right hand to our leadership team. You won’t just keep calendars, you’ll help streamline operations, drive cross-functional projects, execute key corporate matters (including events, payroll, immigration), and act as an internal and external liaison.

This role blends high-level strategic support with hands-on execution. You’ll take ownership across domains and help Unto Labs scale more efficiently.

Key Responsibilities Executive & Strategic Support

Manage complex calendars, prioritizing and resolving conflicts

Act as a gatekeeper / filter for inbound requests, balancing urgency vs importance

Prepare briefing materials, agendas, slide decks, and executive communications

Operations & Administration

Oversee payroll, travel, event, and other operational logistics (in coordination with finance/HR)

Manage vendor contracts, invoices, and expense processes

Coordinate internal systems, tools, and process improvements

Ensure smooth office operations (even if hybrid / remote) and onboarding/offboarding of employees.

Events & Programs

Plan, coordinate, and execute company and team events (offsites, all hands, social, recruiting events)

Manage event logistics, budgeting, vendor relationships, travel, venues

Lead internal culture programs, wellness or team ritual events

Immigration / Global Mobility

Manage immigration / visa processes for international hires (work with outside counsel)

Track visa timelines, renewals, compliance

Serve as point of contact for global employees and legal / immigration teams

Cross-Functional Projects & Stakeholder Management

Lead, coordinate or support cross-functional initiatives (e.g., onboarding improvements, internal infrastructure projects)

Work with HR, Finance, Legal, Engineering, People Operations, Recruiting, etc.

Serve as liaison to external partners, service providers, travel agencies, legal counsel

Miscellaneous & Special Requests

Be ready to take on ad hoc requests and emergent priorities

Travel with executives when needed

Occasionally support personal tasks when appropriate (within boundaries)

Qualifications & Attributes Must-haves / Required

3+ years in executive support / EA / business partner role, ideally in a fast-paced startup or tech environment

Strong track record of owning operations and executing cross-functional programs

Excellent verbal & written communication, high emotional intelligence, discretion

Superb organization skills, attention to detail, bias toward proactivity

Ability to juggle many competing priorities and pivot when needed

Comfortable with ambiguity; ability to create structure

Strong judgment, confidentiality, and professionalism

Nice-to-haves

Experience managing payroll, HR systems, or global mobility / immigration

Experience in event planning (onsite + offsite)

Familiarity with finance, invoicing, legal, or contract management

Multi-lingual or experience working across geographies

Work Setup / Preferences

In-person preferred (San Francisco), but hybrid or remote flexibility possible

Must be open to frequent travel

Part-time candidates will be considered if able to travel and meet deliverables
