Job Summary The Administrative Assistant provides a high level of administrative support for the Divisional Leader. The role must interact seamlessly with senior executives and individuals, demanding a high expectation of confidentiality of sensitive information.
Essential Job Duties And Responsibilities
Prepare communications, such as memos, emails, invoices, reports, offer letters and other correspondence and documents.
Maintain Outlook calendars for VP and direct reports (as needed).
Coordinate meetings, manage agendas, advance materials and mailings with attention to detail, editing and formatting.
Assist with project needs of VP including drafting presentations, Word documents, and basic Excel files.
Support logistics for leadership team meetings, including hotel reservations, transportation, catering, receptions and off‑site meeting space as needed.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
Make domestic and international travel arrangements for VP and leadership team members (as needed).
Process expense reimbursements for VP and leadership team members (as needed), ensuring all charges are valid.
Arrange meetings (town halls, department meetings, others as assigned) on behalf of the Division VP.
Make departmental purchases with corporate credit card & reconcile monthly statement.
Manage files, including solution for access, retrieval, storage and archiving in a timely manner.
Manage VP memberships, subscriptions, and services.
Other duties as assigned.
Education And Experience Requirements
Education: Associate’s degree or equivalent experience in an executive assistant role.
Minimum of 3 years executive administrative assistant experience.
Advanced Microsoft Office and PowerPoint skills.
Excellent organizational and time management skills.
Detail oriented, dependable and able to handle multiple priorities with a high degree of flexibility.
Self‑motivated and ability to anticipate needs of executives.
Successful communication skills.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
Preferred Skills And Abilities
Maintain professionalism under all circumstances.
High level of organizational skills.
Strong written and verbal communication skills.
Working Conditions and Physical Demands Office environment. Minimal travel required, usually locally, but could also include international, to assist with execution of board meetings and events. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
