Chief Operating Officer About DeNova Detect by New Cosmos USA DeNova Detect is the industry leader in natural gas safety solutions, committed to protecting lives and property through advanced gas detection technology. Our innovative gas alarms are trusted by utilities, trade organizations, and safety-conscious consumers across the U.S. As we continue to expand our market presence, we are seeking an Executive Assistant to support the Chief Operating Officer with all aspects of running the business. Role Overview The Executive Assistant will provide high-level administrative and operational support to the Chief Operating Officer. This role requires the ability to manage a dynamic workload in a fast-paced environment with discretion and resourcefulness. The Executive Assistant will serve as a key partner to the COO, enabling strategic priorities, managing communications, and ensuring execution of priorities. Key Responsibilities
Executive Support Manage the COO’s calendar, including scheduling, prioritizing, and coordinating internal and external meetings across time zones. Prepare all pertinent briefings and information for meetings as needed, distributing meeting notes and follow-ups as needed. Coordinate travel logistics, including itineraries and expense reporting as needed. Manage incoming communications (email, calls, messages), ensuring timely responses and follow-ups on behalf of the COO. Operational & Strategic Support Track key operational initiatives that help ensure alignment on deadlines and deliverables. Tracking projects and KPIs. Act as a liaison between the COO and senior leadership, internal departments, and external stakeholders. Help coordinate cross-functional team initiatives and meetings led by the COO, including logistics, communications, and follow-through. Support the COO in maintaining a high level of efficiency and effectiveness, identifying opportunities to optimize workflows and make improvements. Provide information & reports in preparation for meetings. Attend meetings to take notes and list action items Follow up with team members on the progress of action items. General Administrative Maintain an organized and confidential filing system for sensitive documents and records. Provide backup support to other team members if/when needed. Required Qualifications
Required: 5+ years of executive assistant experience, with at least 2 years supporting C-suite or senior leadership. Strong calendar management and organizational skills with the ability to prioritize across multiple workstreams. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite and Google Workspace, and experience with project management tools (like Slack, Zoom, Concur, Asana, Basecamp or similar). Proven ability to handle confidential information with discretion. Comfortable in a fast-moving environment with shifting priorities. Preferred: Experience working within the natural gas safety industry. Familiarity with operational and business management concepts. Experience interfacing with executive leadership and high-profile external partners. Salary & Benefits
