Our rapidly-growing law practice is seeking a full-time bilingual legal intake specialist to join our team. Responsibilities Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases
Manage attorney schedules, including prospective client consultations, to foster caseload growth
Survey potential clients to determine the right fit with our practice, while listening to all phone calls in an empathetic manner
Conduct various tasks around the office such as managing spreadsheets, writing emails, faxing and copying, and transcribing notes to make sure all processes run smoothly
Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files
Be the first point of contact for potential clients, conducting empathetic, insightful conversations to assess case viability and ensure they feel heard and supported
Evaluate incoming inquiries and calls to determine case fit and guide clients through the intake process
Gather essential information, complete intake forms, and schedule consultations for attorneys
Manage attorney calendars and consultation schedules to support caseload growth
Maintain organized, accurate records and perform data entry in our case, and lead management systems
Organize intake paperwork and help onboard new clients efficiently
Support internal collaboration and referral processes to streamline case flow
Maintain strict practice and client confidentiality
Contribute to prospective client growth by collaborating with the marketing team on awareness initiatives and partnership opportunities
Qualifications Skilled with Microsoft Office, especially Microsoft Excel
Background in the legal industry preferred
Excellent and empathetic verbal and written communication skills required
CRM and case management software experience a plus
High school diploma or GED is a requirement; Bachelor’s degree is a plus
Strong administrative skills and a detail-oriented, organized, and thorough approach—proofreads work and double-checks details
Reliable, trustworthy, and capable of maintaining strict confidentiality in all client and firm matters
Positive, high-energy mindset and a results-driven attitude in a fast-paced environment
Technological confidence and the ability to navigate multiple computer programs, databases, and case management systems
Excellent communication skills—clear, confident, and professional in writing and phone interactions, with a warm client presence
Strong interpersonal awareness and natural empathy; ability to listen with compassion and put clients at ease
Ability to build rapport and maintain productive relationships with a wide range of personalities and authority levels
Customer-service orientation with a genuine passion for helping others
Experience with legal or intake processes, or transferable skills from a fast-paced, high-touch customer service environment
Compensation
$20 - $25 hourly
