JOB SUMMARY:

To provide administrative and secretarial support for the departments within GMC.

Key Responsibilities:

Manages all aspects of the Director's and department’s meeting needs.

Coordinates meetings as delegated to include necessary participants, appropriate room, food, conference call capabilities, agendas, pertinent materials, handouts, presentations, etc.

Ensures that all participants are aware of meetings and the deliverables through confirmations and meeting agendas.

Completes minutes as delegated in an accurate and timely manner and distributes as required.

Effectively manages the Directors' daily schedules, keeping in mind travel needs.

Effectively manages office functions.

Determines appropriate system for filing; establishes and maintains files so information is readily retrievable, archives documents as necessary.

Maintains a neat and organized appearance in the office.

Opens and sorts mail daily.

Orders, maintains, and monitors inventory of office supplies.

Processes work (e.g., Expense reports, budget reviews, check requests, time and attendance, travel requests, policy reviews/updates) accurately and promptly.

Handles delegated assignments thoroughly and efficiently.

Examples include copier, customer service, and/or travel registration assignments.

Anticipates needs of the Director and ensures that work flows in a smooth, proactive manner.

Effectively communicates (verbally, in writing, and in email) with all department customers.

Communicates clearly and positively with all customers to include other department staff, clinical staff, physicians, executive team members, and GMC management team members.

Handles requests from the Director in a confidential, proactive manner.

Updates information as necessary to include policies and procedures, plans, phone lists, meeting member lists.

Supports the Core Purpose and Values of LifeBridge.

Works collaboratively with colleagues, staff and leadership to support quality and compassionate care for our patients.

Communicates proactively and positively in all customer interactions.

Requirements:

Minimum of 1 year of experience required; 3+ years of experience preferred.

HS Diploma or equivalent preferred.
