Fastbreak AI is looking for an outstanding executive assistant to keep the company’s CEO organized and focused on business growth.
The Charlotte-based company is a rapidly growing leader in sports operations software. Our products power the schedules of professional leagues like the NBA, MLS, and NHL as well as dozens of fast-growing amateur sports organizations around the world.
The ideal candidate understands intuitively how to proactively get things done. You will manage the CEO’s business and personal affairs and manage calendars, travel, protect time, create new workflows that keep the company moving.
What You’ll Do
- Own the calendar. Prioritize time, set agendas, prepare briefs, and keep the day on track across time zones.
- Run communications. Take notes, manage inbox flow, route decisions, manage contracts and follow threads through to resolution.
- Manage travel. Plan complex domestic and international trips, ground transport, lodging, holds, backups, and change plans.
- Handle board and leadership rhythms. Coordinate meetings, prep materials, take notes, track action items, and file records.
- Support personal affairs. Coordinate contracts, vendors, appointments, reservations, gifting, and calendars.
- Help manage special projects and events. Company off-sites, investor meetings, game-day hospitality and last-minute requests.
- Protect confidentiality. Maintain discretion with sensitive business, financial, and personal information.
Requirements
- 10 or more years as an executive assistant supporting one or more C-suite leaders in high-growth environments.
- Proven ability to anticipate executive needs, preempt issues, and deliver options, briefs and backups without prompting.
- Expert calendar, travel, and meeting management with strong follow-through.
- Technology savvy: power user of Google workspace, Drive, Calendar, Slack, Zoom, AI tools like ChatGPT / Claude, and project management systems like as Asana, Notion, Trello or Monday.
- Proven experience handling both business and personal support for a busy executive.
- Excellent writer and concise verbal communicator who can speak with investors, league partners and Fastbreak staff.
- High sense of ownership, sound judgment, and the ability to anticipate needs and act without being directed.
- Strong technology skills across Google Workspace, Slack, Zoom, Notion or Asana, and expense tools.
- Highly organized and detail-oriented. Calm under pressure.
- Comfortable with after-hours needs and weekend requests.
- You’re comfortable working in an extremely fast paced culture that is continuously changing.
- An appreciation for sports is a big plus. Must love cats and dogs.
Location
- Will work from Fastbreak HQ in Charlotte, North Carolina.
- This is not a remote or hybrid position. Relocation assistance is available.
- Will require some work on evenings and weekends.
