Overview
Sunshine Water Services, a division of Nexus Water Group, is seeking an Administrative Assistant to provide administrative support and clerical services within our Longwood, FL office.
Location & Schedule
Longwood, FL – Full‑time position on a standard schedule.
Responsibilities
- Coordinate and perform staff and operational support activities, assist visitors, resolve administrative inquiries.
- Schedule and organize meetings, conferences, interviews; prepare agendas, notices, minutes.
- Write correspondence, reports, spreadsheets; respond to routine external communications.
- Maintain files, databases, reports; perform routine data analyses for internal reports.
- Prepare scheduled and ad‑hoc statistical and narrative reports; gather information and perform basic forecasting.
- Sort, review and distribute mail; draft timely responses to routine written inquiries.
- Act as liaison with regional companies for day‑to‑day administrative and operational issues.
- Use internet and historical documents to conduct research.
- Manage office supplies, equipment maintenance, and related services.
- Assist management and staff in problem solving, project planning, and execution of goals.
- Assist with special projects as needed and perform other related duties.
Qualifications
- 1‑2 years of previous experience in an administrative role or similar.
- High school diploma or GED required.
- Valid driver’s license.
- Associate’s or bachelor’s degree in communication, business, or related field is preferred.
- Strong interpersonal skills, poise, tact, and diplomacy in handling sensitive information.
- Adaptability to changing work environment and competing demands.
- Ability to multitask in a fast‑paced environment.
- Effective communication with senior management and external contacts.
- Accuracy, thoroughness, and quality monitoring.
- Attention to detail in composing, typing, and proofreading materials.
- Problem‑solving, information gathering, and analysis skills.
- Working knowledge of regulations, policies, and procedures relevant to utility administration.
- Proficiency with MS Office, Internet Explorer, and ability to learn internal software programs.
Work Environment
- Normal office setting.
- Light to moderate physical activity; requires normal hearing and vision.
