We are seeking an organized and detail-oriented Administrative Assistant for our community development consultant, landscape architectural and construction company. This individual plays a key role in completing various administrative tasks to support our operations. The ideal candidate will have experience completing various office duties, with the ability to suggest improved efficiencies. This position is part-time with flexible scheduling.
This role is for a highly organized and detail-oriented Office Manager with a strong understanding of basic accounting principles and proficiency in QuickBooks Online. The position focuses on ensuring smooth office operations and maintaining accurate financial records.
Compensation
Compensation will be competitive and commensurate with qualifications and experience level.
Duties
- Time and Payroll – enter and review time for employees, process payroll payments for biweekly payroll, schedule payroll tax payments, submit employee 401k payments, complete annual work compensation audit, complete employee 401k compliance
- Accounts Receivable – create and maintain customer profiles, create invoices, receive payments, complete analysis of amounts due, complete SAM.gov transactions and renew annually
- Accounts Payable – create and maintain vendor profiles, request appropriate tax documents and certificates from vendors, enter bills, process bill payments
- Expenses – enter credit card expenses, assist with credit card reconciliations
- Employees – create and maintain employee profiles, assist with onboarding new employees, employee handbook maintenance, other human resources related tasks
- Insurance – coordinate insurance needs of the business including workers' compensation audits, general liability/errors and admissions, vehicle, health and subcontractor insurance compliance
- Other – include but are not limited to the following: pick up mail from post office box, deposit checks at bank, vehicle registrations and inspections, reconcile health insurance accounts and other general ledger accounts, file accounting related documents, coordination of housekeeping, manage office supplies, office security needs and
Skills
- Knowledge of office software and technology, including QuickBooks Online, Microsoft Office (Word/Excel) and Adobe Acrobat Pro
- Experience with SAM.gov
- Clerical and administrative experience

- Ability to maintain confidentiality and manage sensitive information
