This role is ideal for a customer‑focused, organized individual who can support daily office operations, maintain a welcoming environment, and assist with administrative and facilities needs.
Job Description
The Office Assistant will provide comprehensive administrative and facilities support, including visitor management, office supply oversight, facility maintenance coordination, event planning, and vendor support. This role requires multitasking, strong communication skills, and the ability to foster a collaborative, professional office environment.
Key Responsibilities
- Serve as the main point of contact for office facility needs, visitor coordination, and maintenance requests.
- Manage office security, including issuing and auditing access badges/fobs.
- Oversee kitchen and office supply inventory, ensuring adequate stock and organization.
- Provide general administrative support, including mail processing, invoice management, and conference room scheduling.
- Assist with event coordination, such as office celebrations and meetings, including catering and setup/cleanup.
- Support IT needs by managing equipment inventory and troubleshooting minor issues.
- Act as a liaison for new hires, ensuring smooth onboarding, workspace setup, and orientation.
Qualifications
- 2–4 years of experience in administrative or customer service support roles.
- Proficiency in Microsoft Office Suite and comfort with various technology platforms.
- Bilingual in Spanish is required for effective communication with staff.
- Strong interpersonal skills and professional demeanor; able to interact with diverse personalities.
- Highly organized, detail‑oriented, and adaptable to shifting priorities.
- Bachelor’s degree preferred but not required.
