Position Title: Executive Administrative Assistant

Location: 275 Technology Drive Canonsburg, PA 15317

Job Type: On Site Full-Time

Position Summary

An administrative executive assistant provides high-level support to C-suite executives, directors, and other senior leaders. This strategic role goes beyond standard clerical tasks, requiring a professional who can anticipate needs and function as a trusted point of contact for internal and external stakeholders.

Target Responsibilities

  • Accept, embrace, and promote the core values of Core Natural Resources.
  • Expertly manage the executive's time by scheduling, prioritizing, and coordinating a highly active calendar of appointments and meetings.
  • Schedule and organize meetings, conferences, conference calls, and department activities.
  • Plan and arrange complex travel logistics, accommodations, and itineraries.
  • Function as the primary point of contact. This includes screening and prioritizing emails, calls, and visitors, as well as drafting correspondence on behalf of the executive.
  • Coordinate internal and external meetings, conferences, and special events, including preparing agendas, gathering materials, and tracking follow-up action items.
  • Prepare and edit confidential reports, presentations, and other documents. The assistant must also maintain organized and secure electronic and physical filing systems.
  • Prepare and manage expense reports, process invoices, perform basic bookkeeping tasks.
  • Manage the corporate entertainment ticket system.
  • Provide administrative support for department team members, to include answering/routing phone calls, processing incoming and outgoing mail, photocopying, filing and supplies control.
  • Anticipate potential issues and manage challenges independently to conserve the executive's time.
Required Skills and Experience
  • A minimum of 3 to 5 years of administrative experience is required, with specific experience supporting executives preferred.
  • A high school diploma is the minimum requirement, with an associate or bachelor's degree preferred.
  • The ability to manage confidential and sensitive information with a high level of discretion is non-negotiable.
  • The role requires exceptional skills to juggle multiple tasks, prioritize effectively, and maintain meticulous attention to detail.
  • Excellent written and verbal communication skills are essential for corresponding professionally with all levels of staff and external contacts.
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other relevant software and calendar management platforms is a must.
