Description
Summary:
Provides clerical support for the Pre-Sentence Investigation Section; compiles files on defendants who plea bargain for community supervision or penitentiary time; organizes and maintains closed out and inactive case files. Duties & Responsibilities Essential Job Functions:
Obtains information and compiles folder consisting of a personal data sheet and a criminal history, ordered from Sheriff's Office and District Attorney's Office, on each defendant who plea bargains for community supervision or penitentiary time. Records all cases on a monthly log and also on a separate log according to sentence date. Schedules interview date and time for defendant with assigned PSI Officer. Prepares completed folder for Community Supervision or a pen packet for the Institutional Division after PSI Officer Interviews defendant and completes a report. Prepares court orders, including special conditions recommended by Officers, for all probation cases. Sends copies of folders to the Judge, District Attorney's Office and the defense attorney. Retains PSI file copy. Assigns officer, compiles folder, orders criminal history, distributes folders weekly for all cases due for sentencing. Prepares identification bracelets for probationers so ordered and forwards folders to Intake. Closes out files on completed cases each month. Maintains statistics on cases ordered, cases completed, cases handled by each officer. Prepares monthly P.S.I. reports. Schedules defendants for substance abuse assessments on an as needed basis. Receives, screens and routes all incoming telephone calls. Develops, implements, and maintains an organized system of case file storage, retrieval, archiving, and disposal for closed out and inactive case management files. Maintains statistics regarding urinalysis screenings of non-probation defendants as requested by criminal courts. Work requires regular and predictable attendance. Performs other job related duties, as directed.

Education & Experience Education & Experience:
High school diploma or GED; training in general clerical and computer skills; at least two years of related job experience. Bilingual skills (English/Spanish) preferred, but not required. Applicants may be subject to a complete background investigation including, but not limited to Driving Record and Criminal History checks.
Knowledge, Skills, & Abilities Equipment Used:
Vehicle, Personal computer/mainframe computer, typewriter, copy machine, small transport dolly, small laminating machine, and other office equipment as needed.

Knowledge of accepted office practices and procedures; excellent verbal and written communication skills; excellent typing skills; effective computer skills; math calculation abilities; good interpersonal skills in order to interact and cooperate with co-workers and deal effectively with defendants, District Attorney's office, court personnel, law enforcement agencies and the general public.
Work Situations/Demands/Efforts:
Regular and predictable attendance is required with availability from 8:00 a.m. till 5:00 p.m., Monday through Friday, and for extra hours as needed. Job requires organizing; accuracy; attention to detail; working alone and with a group; flexibility in order to perform a variety of duties; performing routine, repetitive duties; meeting frequent deadlines; working in high volume environment; dealing with criminal offenders; occasional overtime and/or irregular hours; possible out-of-town travel to attend educational seminars, workshops, training.
Working Conditions:
Work is performed primarily in a climate controlled office environment which is shared with another and is readily accessible to the general public; heavy office traffic and/or high noise level may cause distractions and interrupt duties; record related work may be performed in a limited climate controlled office or warehouse environment, which is subject to dust and other airborne and surface pollutants, and moderate temperature extremes.
Physical Requirements:
Work is primarily sedentary; duties require reaching, lifting and carrying objects weighing up to 10 lbs.; prolonged sitting to work at computer, walking; duties may require occasional to frequent loading, lifting, and carrying of file boxes weighing over 10 lbs.
