Description

Three years of medical secretary experience required.

Responsibilities

  • Under minimal supervision, answer unit/department telephones and greet visitors according to departmental procedure; screen calls and take messages or refer caller/visitor to appropriate staff member.
  • Greet visitors in a courteous manner. Receive, open, date, and distribute incoming mail to appropriate employee.
  • Prepare and mail outgoing correspondence and information.
  • Set up, organize, and maintain various departmental and/or patient files according to established procedures.
  • Retrieve appropriate information upon request for internal and external use.
  • Arrange and schedule appointments and regular or intermittent meetings for one or more managers.
  • Prepare daily schedules, prioritize requests for meetings, and make and confirm travel arrangements.
  • Schedule and coordinate meetings and/or special events.
  • Take minutes as requested. Take and/or transcribe dictation.
  • Type medical reports and summaries, patient histories, operative notes, proposals, manuscripts, and letters requiring knowledge of medical terminology from rough draft to final copy.
  • Proofread generated documents for grammar, punctuation, spelling and factual correctness and conformance to policies.
  • Advise writer or supervisor of policy deviations.
  • Assist in preparing and completing special projects.
  • Communicate and implement office procedures for recordkeeping, filing, ordering of supplies and confidential information.
  • May supervise or direct the work of student and/or regular employees.
  • May interview applicants and provide input to performance evaluations.
  • Track vacation and back up coverage schedules.
  • Process employee time cards and other employee transactions after review and approval.
  • Initiate, process and maintain records and invoices on purchases, reimbursements, receipts and related financial matters.
  • Prepare charge sheets and bills for outpatient and inpatient services as necessary.
  • Maintain budget records and assist in examining and highlighting variances in budget reports.
  • Inform supervisor of status of accounts.
  • Operate standard office equipment including telephones, copiers, fax machines, and computers.
  • Inventory, order, and maintain office supplies and forms.
  • Complete purchase requisitions and receive supplies.
  • Enter, update, maintain, compile and retrieve data from computer databases.
  • Document how to access files.
  • Generate regular or special reports and/or statistics after collecting and organizing data.
  • Performs other related responsibilities as required.

Minimum Qualifications

  • A high school diploma or equivalent.
  • Three years of medical secretary experience.
  • An advanced knowledge of medical terminology.
  • Previous experience with various personal computer software applications.
  • Positions within this classification may require the ability to type or keyboard 50 accurate words per minute.

Physical Requirements

(Medium Max 25 lbs): up to 25 lbs, 0-33% of the work day (occasionally); 11-25 lbs, 34-66% of the workday (frequently); 01-10 lbs, 67-100% of the workday (constantly); Lifting 25 lbs max; Carrying of objects up to 25 lbs; Occasional to frequent standing & walking, Occasional sitting, Close eye work (computers, typing, reading, writing).

Environmental Factors

Environmental factors may vary depending on the assigned work area and tasks. Exposures include blood-borne pathogens, bio-hazardous waste, chemicals/gases/fumes/vapors, communicable diseases, electrical shock, varying floor surfaces, hot/cold temperatures, indoor/outdoor conditions, latex, lighting, patient care handling injuries, radiation, shift work. Use of personal protective equipment may be required. Travel may be required.
