Job Summary
The Business Office Assistant is a key member of the Business Office team, providing face-to-face, email, and phone support to students and staff. This position handles payments, answers questions regarding student account balances, and assists other Business Office staff with various duties. The role requires excellent attention to detail, time management, and vendor coordination.
Position Duties & Responsibilities
- Enter and review records for accuracy within accounting and other business software
- Verify that procedures for recording information are being followed
- Track errors through Financial Edge and make appropriate reversal or correcting entries
- Provide excellent customer service to campus faculty, staff, students, and vendors
- Receive and record cash, check, and card payments for student accounts and from other University departments
- Prepare daily bank deposits using online banking, check scanner, student information system, Excel, etc.
- Answer the Business Office main phone and assist callers by answering general and student account questions, taking credit and debit card payments, and transferring calls as necessary
- Process invoices, distribute payments, and manage the accounts payable process
- Perform assigned accounting reconciliations and entries on a regular basis
- Other duties as assigned
Experience And Qualification Requirements
- Two years of experience in administrative support or office assistance work, preferably including bookkeeping or accounting, and an Associate’s Degree in Accounting, or an equivalent combination of education and experience
- Experience with Windows-based programs including Word and Excel is required
- Knowledge of general accounting concepts and software; ability to learn new software quickly

- Ability to lift up to 50 lbs and perform related physical tasks as needed
