The Loan Documentation Specialist is responsible for preparing the loan documents for all commercial and consumer loans (excluding SBA loans) originated by the Bank. Interacts with commercial and consumer lenders and loan coordinators (from loan approval thru closing/funding) to ensure approval conditions are met, document content complete, compliance with federal/state regulations and internal policies and proper perfection of bank’s security interest.
Job Responsibilities Coordinates with commercial and consumer lenders and loan coordinators to ensure loan transactions close accurately/timely. Review all pre-closing due diligence information gathered by loan coordinators (i.e. title work, flood letters, UCC searches, entity information, etc.) to ensure
completeness/accuracy. Prepare the legal loan documents for consumer and commercial loans (utilizing LaserPro) in compliance with federal/state regulations and internal policies, and ensuring all approval & closing conditions have been met. Review executed documents for proper
signatures/completeness
and follow up with
lenders/coordinators
on missing/incomplete items deemed critical for booking the loan. Responsible for perfecting the Bank’s security interest by recording/filing documents online (or mailing out) including Deeds of Trust, UCCs, NOLs, acknowledgements, etc. Create and assist in maintaining the physical loan files, including uploading all loan documents & due diligence information into Nautilus (the Bank’s document retrieval system). Follow up and obtain outstanding loan documents needed to complete the loan file (i.e. recorded deeds/mortgages, final title policies, signed acknowledgements, etc.). Monitor monthly reports and prepare UCC continuations timely to ensure Bank’s security interest maintained. Responsible for assuring that proper
customer/collateral
information is provided to Loan Administration to facilitate the booking process and ensure accurate system information. Assist in resolving documentation questions, concerns and/or service in a timely, professional, and courteous manner. Identify and report all collateral documentation exceptions, as well as obtain proper exception authority approvals, as required by Bank policy. Complete special projects assigned by management.
Qualifications, Knowledge, and Skills High School education or GED equivalent Minimum 1-3 years’ experience in
examining/preparing
collateral documentation Experience using a documentation preparation system (preferably LaserPro) Knowledge of various collateral types including ‘perfection’ requirements Knowledge of legal contracts, the Uniform Commercial Code, regulations governed by the Federal Reserve System, and regulations imposed by state and local governing authorities Able to prioritize workflow and handle shifting priorities Excellent written and verbal communication skills Detail oriented, well organized and demonstrates flexibility, versatility and good judgement Has a proactive problem solving attitude, professionalism and effective communication skills Work Environment General office conditions Disclaimer
