Customer Experience and Inventory Management Specialist
This role is a vital part of the Sales and Marketing Group, collaborating closely with Logistics, Sales, Finance, and Manufacturing teams.
The Customer Experience and Inventory Management Specialist is dedicated to delivering exceptional customer service and satisfaction while ensuring accurate order administration and prompt responsiveness. The ideal candidate exhibits leadership qualities, prioritizing quick problem resolution and informed decision-making.
This position aligns with the customer service strategic plan and may involve special projects as required.
This position is located in Newark, DE.
Responsibilities:
Take initiative to creatively exceed customer service standards in line with company strategies, values, and policies.
Exhibit professionalism in all interactions.
Manage customer relationships and monitor order statuses, ensuring timely follow-up.
Meet customer service performance goals consistently.
Balance inventory levels, production schedules, and customer demand effectively.
Act with urgency to resolve customer service-related issues.
Collaborate on establishing customer service operating plans and budgets to meet cost targets and business objectives.
Oversee the daily activities of customer service representatives.
Request, receive, and review customer purchase orders.
Coordinate with relevant departments to fulfill customer requirements.
Communicate regularly with both internal and external customers.
Track the status of open orders, confirm shipping dates, and promptly communicate any issues or delays to customers and management.
Assist with shipping arrangements and handling partial orders as requested by customers.
Provide proforma invoices, corrections, credits, and debits as necessary or as directed by Sales.
Process customer issues or complaints regarding orders, handling returns and replacements for damaged products.
Utilize company personnel to respond to customer inquiries and complaints as needed.
Address issues related to order entry, work orders, invoicing, and shipping.
Maintain comprehensive records of customer transactions, inquiries, and complaints.
Provide material information sheets as requested.
Handle all communications from customers, Sales, and internal contacts.
Input various data into the SAP system, including updated customer information.
Provide customers with updates on corrective actions and necessary documents.
Support the duties of other Customer Service Representatives when needed.
Manage tasks independently, demonstrating strong time management skills.
Create and maintain email distribution lists in SAP and manage customer records.
Facilitate inventory transfers and coordinate pallet re-labeling as necessary.
Participate in call report meetings with Sales and customers via Teams.
Assist Sales and customers with aging inventory management.
Maintain training modules and file management systems.
Perform any other related tasks as requested.
Requirements:
High School Diploma required; an Associate's degree is preferred.
Knowledge of business principles and effective communication related to customer relationship management.
A minimum of 3-5 years of relevant experience in a customer service role is essential.
Strong background in customer management.
Exceptional relationship-building skills are crucial.
Excellent written and verbal communication skills are mandatory.
Strong numerical reasoning and analytical skills.
Proficient in data reporting and computer skills.
Good understanding of customer service technologies and quality improvement techniques.
Ability to work independently and efficiently.
Understanding of customer service expectations.
Highly organized, detail-oriented, and proactive.
Proficient in MS Office, particularly Excel, Word, and PowerPoint; experience with Power BI and SharePoint is a plus.
Familiarity with SAP or other ERP/CRM systems is preferred.
