Position Summary

The Printing & Mailing Services Assistant plays a vital role in supporting Whitworth University's communication and campus operations by ensuring timely, high-quality printing and mail distribution. This position coordinates day-to-day production in the university's print shop, maintains equipment and supply inventories, and assists with bulk and campus mail operations. The Assistant provides excellent customer service to faculty, staff, and students while upholding university brand standards and ensuring compliance with postal regulations. This position thrives on accuracy, organization, and collaboration.

Core Responsibilities

Printing Services | 60% Organize and facilitate the planning, scheduling and production of materials in support of the university's printing needs. Set up and operate printing equipment and other machinery Exercise quality control and adhere to Whitworth University's brand. Maintain paper and other supply inventories, including bulk paper fulfillment across campus when needed. Manage service repair for copy equipment when needed. Maintain accurate recordkeeping of all paperwork. Manage chargeback system with job pricing and data entry for interdepartmental charges. Provide excellent customer service. Maintain campus copier toner storage, arrange campus delivery and reorder as needed. Learn new copier technology and then train staff members and student workers on its use. Mail Room Support | 30% Assist with bulk mailings, adhering to USPS regulations. Post and dispatch outgoing official Whitworth University letters, flats and parcels utilizing USPS and FEDEX. Assist in drop off and pick up of campus mail from a set route of buildings when needed. Maintain accurate recordkeeping of all paperwork. Manage chargeback system with job pricing and data entry for interdepartmental charges. Provide excellent customer service. Learn new mailing/printing technology and then train staff members and student workers on its use. Assist in maintaining the scheduling of production work in collaboration with staff and student workers to meet deadlines. Other | 10% Assist the marketing department by obtaining printing bids from outside print vendors. Assist with special projects in the printing and mailing center when needed. Other related duties as assigned. Qualifications and Core Competencies

High school diploma or GED. A valid driver's license is required. Compliance with Whitworth's campus A personal commitment to the Christian faith and to the integration of faith and learning A commitment to the educational mission of Whitworth University as a comprehensive Christian liberal arts university affiliated with the Presbyterian church Core Competencies Computer proficiency in a Windows environment. Ability to recognize technical issues and assist IT staff to correct and/or update procedures. Ability to learn and apply new technology. Understanding of basic electronic file types, particularly PDF and JPEG, and how to manipulate them. Ability to problem solve and utilize appropriate printing and/or scanning technology to meet customer needs. Demonstrated ability to establish and maintain positive working relationships with faculty, staff and students and work as a team. Utilization of experience to evaluate customer files and provide guidance for optimum print job quality. Ability to work well under pressure and meet deadlines. Ability to lift 10-20 lbs. Requires long periods of time standing, frequent bending, twisting and reaching. Preferred Two years' experience with high-speed high-volume copier equipment in a production environment.
