Key Responsibilities

Inbound and Outbound Referrals: Obtain referrals from phone calls, fax, and internal correspondences. Schedule patient accordingly. Notify referring office of no shows. Send "no show" letter when appropriate. Patient Check-In: Greet and assist patients upon arrival to the Radiation Oncology department. Verify patient information, update medical records, and ensure all necessary documentation is completed. Check patients in on the appropriate resource schedule. Appointment Scheduling: Make new patient / consultation appointments. Confirm patient appointments, review clinic schedules, and provide patients with clear instructions for upcoming procedures. Insurance and Financial Information: Collect and verify insurance information and ensure that financial and billing details are accurately entered into the system. Direct patients with questions regarding their insurance and billing to the financial team as needed. Communication: Answer inbound phone calls. Serve as a liaison between patients, medical staff, and departments. Provide accurate information and ensure effective communication regarding appointment times, and pre-appointment instructions. Patient Education: Answer basic questions regarding the check-in process and direct more complex inquiries to the appropriate medical professionals. Documentation and Data Entry: Maintain accurate patient records in the Electronic Medical Record (EMR) system. Enter and update patient demographics, insurance details, and identification as a required as part of patient registration. Coordination with Clinical Teams: Work closely with radiation oncologists, radiation therapists, nurses, and other clinical staff to ensure seamless and timely treatment scheduling. Appointment Reminders: Call or send reminder messages to patients regarding upcoming appointments and any preparatory instructions needed before their visit. Journal conversations with patients in the EMR system. Checkout: Assist with the checkout process when there is an overflow. Schedule patients for follow-up or coordination of care. Fax Dictations: Fax approved office notes to the patient's referring physician and care team. Medical Records: Some medical records tasks are necessary. Assist with making new patient charts. Scan reports and/or correspondences into the EMR system. Send to provider for approval. Notify the medical records team if a referral is made or received to send/obtain records. Supplies Management: Maintain supplies in the front office. Lobby Management: Maintain waiting room ensuring coffee bar is stocked and maintained throughout the day. Confidentiality: Maintain patient confidentiality in compliance with HIPAA guidelines. Ensure all patient information is securely handled and protected.

Fast-paced medical office setting. Direct interaction with patients, families, and healthcare providers. Comfortable working with sensitive health information in a healthcare environment. Requirements

High school diploma or GED Medical office experience Positive attitude
