Overview
The Division of Cardiac Surgery is seeking a highly motivated Practice Assistant/Rotator to support the Brigham's growing Cardiac Surgery patient population by building collaborative relationships, embracing change, and acting as a problem solver. Responsibilities
Phone and Office Operations: Answer all incoming calls politely, triage as appropriate, handle patient inquiries promptly, return patient calls within the same day, check voicemail on assigned day and follow up by 5pm, provide patients with progress updates, interact with Brigham and Women\'s Hospital departments and referring clinics to coordinate services, and greet visitors to the Division. Clinical Scheduling - Rotator: Serve as a divisional clinical scheduling rotator across New Patient scheduling, OR scheduling, and established scheduling as needed; own scheduling for the structural heart program including KCCQs and cath lab scheduling; schedule outpatient clinic appointments in Epic in line with surgeon directions; create and schedule coordinating testing and scans; prepare and send new patient greeting letters with paperwork for upcoming visits; manage Radiology work queue with a goal of under 10 pending radiology requests; maintain the No-Show list and communicate patient precautions to the clinic team; fax/mail all medical requests per HIPAA guidelines; collect patient data for faculty and/or the Administrative Director as needed; perform other duties as assigned by the manager. Essentials: Perform routine administrative and clerical duties, make patient appointments and maintain appointment records, greet and assist patients, answer telephones and handle routine inquiries, file materials, process patient billing forms, obtain patient medical records and lab results, open and distribute mail/faxes, type forms and schedules, and assist with co-pays and prior authorizations as needed. May perform more complex scheduling tasks at an advanced competency level. Education
High School Diploma or Equivalent required. Licenses and Credentials
Certified Medical Administrative Assistant (CMAA) – Data Conversion – Various Issuers preferred. Experience
Office experience 2-3 years required. Knowledge, Skills and Abilities
Proficiency with Microsoft Office Suite and knowledge of standard office operations, filing, copying, scanning, printing, and faxing. Ability to use a phone system and manage non-routine calls and routine issues. Effective written and verbal communication; ability to compose/edit emails, memos, and letters; take clear messages. Time management and organizational skills; ability to manage multiple tasks and follow established protocols. Physical Requirements
