Calendar and Administrative Management : Proactively manage complex executive calendars with scheduling across time zones and competing priorities; organize and manage travel logistics for high-stakes international trips with complex itineraries; prepare high-level meeting materials and presentations; maintain the organizational activity calendar; manage, process, and submit all expense reports in line with company protocols. Meeting And Event Coordination : Coordinate high-stakes meetings with internal and external stakeholders, handle logistics for large team events, off-site meetings, and All Hands; assist with slides and manage Q&A segments; partner with the executive to define goals, agendas, and vision for off-sites, manage budgets and confidentiality; take meeting minutes with clearly documented action points. Project And Communication Oversight : Coordinate tasks and track progress across multiple projects; act as primary liaison between executives, staff, and external clients; resolve scheduling conflicts and monitor calendars one month out to pre-empt conflicts. What You’ll Bring To The Role

5+ years of experience supporting senior-level executives, with a preference for supporting more than one executive (VP/SVP). Logistics mastery: experience with complex schedules and cross-time-zone logistics using web-based scheduling and collaboration tools. Proactive ownership: ability to anticipate next steps and make autonomous judgments. Results & detail orientation: strong time management, able to lead priorities and manage multiple projects; effective with expectations setting. Communication & composure: excellent verbal and written communication; professional interaction with internal and external stakeholders including customers and board members. Confidentiality: ability to handle sensitive information with discretion. Adaptability & teamwork: quick learner, positive attitude in demanding environments, collaborative with diverse personalities. Strengths You Will Need

Below is the annual base salary range for candidates located in California, Colorado, New York and Washington. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), FSA, and paid leave in accordance with applicable plans and policies. The annual base salary range for this position for candidates located in California (excluding San Francisco Bay Area), Colorado, Illinois, New York, and Washington is between: $98,000—$148,000 USD.
