Overview The Director supports CRIS Healthy Aging by providing post-award project support to ensure compliance with OMB 2 CFR 200 Uniform Guidance as well as compliance with grant and institution specific requirements. This individual is primarily responsible for post-award administration of non-research grants, as well as the procurement activities associated with all externally sponsored awards. This position will utilize professional judgment, independence, and discretion to serve as grants point of contact for Carle under guidance from the Director of Grants Administration and Research Operations.

Primary responsibilities include assisting grantees with the establishment and management of their grants and funding, as well as working with Research and Accounting to develop and roll out an OMB compliant procurement system. The Director must exercise consistent and sound judgment, as well as understand and apply Carle's relevant policies, procedures, and accepted regulatory practices, in a fast-paced environment.

Work Experience:

Audit - 1 year Grant management - 1 year Grant accounting - 5 years

Experience administering HHS awards in a sponsored program environment.

Responsibilities

Leads Compliance and Evaluation of Grants Contracts

Ensures that grant deliverables are submitted on-time and in compliance with grant/contract guidelines

Ensures adherence to grant budgets and funding limitations

Supports grant audit processes and utilizes audit results

Identify and correct problems involving accounting and reporting of grants

Provides on-going monitoring and documentation of completion and submission of grant contracts/award deliverables, including financial, performance, and programmatic reports

Provides education and support to project directors/managers and grant team

Ensure all aspects of the grant contract and the integrity of the process is upheld

Actively monitors adherence to grant agreements

Adherence to Carle policies and procedures, and relevant external statutory rules

Adherence to regulations Leads Grant Application Development

Assists with conducting research on potential sources of funding and strategically recommends potential opportunities to senior and executive leadership for further discussion

Manages application requirements across all internal and external partners

Is directly involved in grant writing, and responsible

Ensures all funding requirements are addressed and in alignment with funding specifications

Prepares financial and budget plans and allocations in collaboration with Finance team

Operates in accordance with grant requirements

Leads strategic and business planning initiatives for CRIS grants

Leads initial grant project implementation following award notification

Provides subject matter expertise on grant program management

Provides subject matter expertise on compliance to grant project directors, managers, and team members

Supports ongoing grant program and project management

Build Internal and External Partnerships

Responds to executive leadership requests for opportunity vetting, project management of grant funding opportunities, and coordination of grant administration processes within CRIS Healthy Aging

Develops and nurtures strategic relationships with community partners

Serves as a primary point of contact on collaborative projects

Builds positive relationships with funding organizations

Leadership and Development

Manages the day-to-day financial operations of CRIS Healthy Aging, directs billing office team

Develops and implements policies and procedures to centralize CRIS grants

Responsible for the interviewing and hiring of new business office team members, retention of current staff, performance appraisals, and any necessary coaching and corrective actions for team members

Provides training to new team members on grants management and reporting requirements

Develop and implement financial strategies that support the organizations, mission, and goals

Prepare monthly APS billing, monthly and quarterly along with semiannual reporting

Manage and oversee all financial operations, including accounting, budgeting, forecasting, and financial analysis

Ensure the accuracy and completeness of financial records, including the general ledger, accounts, payable and receivable, payroll, and other financial systems

Prepare and present financial reports to the VP of Finance, CRIS Executive Director and Board of directors, providing analysis and recommendations as needed

Assist Executive Director, to ensure compliance with grants, audits, and legal requirements are met

Ensure compliance with all financial reporting and regulatory requirements, tax filings, audits, and other reporting requirements are met

Manage relationships with external partners, including banks, auditors, and other financial service providers

Budgeting and Forecasting

Develop and oversee the annual budgeting process, working closely with program managers, and other stakeholders to develop realistic and achievable budget

Work with directors/managers to ensure program requirements are met, including program money, matching money, and donations are met

Monitor actual performance against budget

Provide regular updates and analysis to the Executive Director and board of directors

Develop and maintain financial forecasting models that support long-term financial planning and decision-making

Prepare budget for grant submission.

Work closely with the Executive Director and senior leaders to develop and implement strategic plans and goals that support the organizations, mission and vision

Hire, supervise and evaluate administrative personnel along with other appropriate personnel as assigned by Executive Director

Provide leadership and mentorship to the financial team, fostering a culture of continuous improvement and professional development

Attend the Board of Directors meetings

Report on the financial performance of the organization to the board of directors, including regular updates on budget performance, forecast, and financial risks and opportunities.

Collaborate with the Executive Director and board of directors to develop and implement financial policies and procedures that align with the organizations, values and strategic goals

Represent the organization at internal and external events and meetings, providing financial guidance and support as needed

Compensation and Benefits The compensation range for this position is $56.86 per hour - $97.8 per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience, qualifications, location, training, licenses, shifts worked and compensation model.
