Bowditch is searching for an experienced Executive Assistant to support the Firm’s Executive Director and Business Operations Team. The position is located in our Worcester office and is a hybrid role with 4 days per week in office and 1 day per week remote. This role performs a variety of administrative duties and human resources activities, including the preparation of meeting materials and correspondence, calendaring/scheduling of meetings and activities, and supporting various firm projects and initiatives.
Responsibilities of the Executive Assistant
Uphold a strict level of confidentiality and professionalism, keeping a tight control of highly confidential and sensitive information at all times
Assist in the preparation of regularly scheduled reports, materials, and presentations for Executive Director for various meetings and/or initiatives under the Executive Director’s purview
Organize, schedule and make all necessary arrangements for meetings and appointments using Outlook, Microsoft Teams Meetings or Zoom. Maintain Executive Director’s calendar.
Maintain an organized filing system of electronic documents
Produce and distribute correspondence memos, letters and forms
Provide Executive Director regular updates on the status of projects and initiatives
Reconcile, prepare and submit expense reports and invoices
Support firm wide recruiting, including placement of recruitment ads, processing of background checks and tracking of candidate resumes
Provide administrative support for the firm’s annual review and compensation process
Contribute to team effort by accomplishing related tasks as needed and directed
Process and assist in the Firm’s annual professional liability and general liability insurance renewals
Carry out administrative duties such as filing, typing, copying, binding, scanning
Reply to email, telephone or other inquiries
Trouble shoot administrative problems and issues
Perform related administrative functions and assigned special projects or other tasks as may be requested or assigned
Requirements of the Executive Assistant
Minimum 5 years of experience as an Executive Administrative Assistant in a Corporate, Professional Services or Law Firm setting
High school diploma or equivalent; associate degree preferred but not required.
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work in a project management style
Attention to detail and problem‑solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office required. Experience in SharePoint and/or Netdocs is a plus.
Proficient knowledge of record management and electronic document filing systems
