Position Overview
The ERP System Administrator is responsible for the configuration, administration, optimization, and support of the Epicor Prophet 21 (P21) ERP system within an automotive distribution environment. This role serves as the bridge between business operations, IT, and external vendors to ensure P21 effectively supports inventory accuracy, order fulfillment, supply chain efficiency, and financial reporting. This is a remote position, with quarterly travel to corporate offices, distribution centers, or key project sites.
ERP Administration
Manage day-to-day administration of Epicor Prophet 21 including user accounts, roles, permissions, and security.
Configure and maintain modules such as Inventory, Purchasing, Sales Orders, Pricing, Warehouse Management, and Financials.
Oversee system performance and troubleshoot issues related to data flow, integrations, and user access.
Coordinate with Epicor support and third-party vendors for upgrades, patches, and escalated issues.
Distribution Process Support
Optimize workflows specific to automotive distribution, including:
High-volume SKU management and supersession handling (part substitutions).
Core charges and return processing.
Vendor lead times and backorder management.
Pricing matrices, rebates, and manufacturer programs.
Multi-warehouse inventory optimization.
Ensure system supports fast order turnaround, accurate availability, and efficient logistics.
Business Analysis & Process Improvement
Work with departments (Sales, Purchasing, Warehouse, Finance, eCommerce, Customer Service) to map business processes.
Identify gaps and inefficiencies; design system-level improvements.
Define and translate business requirements into functional/technical system changes.
Develop and maintain process documentation and SOPs.
Reporting & Data Management
Build and maintain dashboards, custom reports, and KPIs for operational visibility.
Use P21 tools, SQL, SSRS, or Power BI to support data-driven decisions.
Maintain data accuracy and integrity across parts files, customer data, pricing, vendor files, and transactions.
Support data imports, exports, and migrations.
Project & Change Management
Lead or support ERP enhancement projects, module rollouts, and integrations (eCommerce, WMS, CRM, EDI, shipping systems).
Coordinate testing, training, go-live, and change management.
Maintain development, test, and production environments.
Prioritize system issues, requests, and change logs.
User Support & Training
Serve as primary point of contact for P21 support.
Troubleshoot issues for remote and onsite users.
Develop and deliver training sessions (virtual or onsite during quarterly visits).
Create training materials and onboarding documentation.
Cross-Functional Collaboration
Partner with business leaders to align P21 capabilities with business strategies.
Collaborate with IT on infrastructure, data security, and integrations.
Facilitate communication between technical resources, users, and external vendors.
