Position Summary Responsible for the overall clerical functions of the nursing station/front desk. Working collaboratively with the clinical team, the Unit Coordinator participates in the delivery of patient care by providing a variety of clerical, customer relations, and support services to patients, their families/visitors, and healthcare team members.
Essential Responsibilities / Duties
Greets and directs patients, families, visitors and staff in a friendly, courteous manner. Identifies self. Provides informative, non-clinical information when requested.
Coordinates activities of front desk/office support services. Performs clerical duties for the department. Answers telephone calls and inquiries in a timely manner. Handles inquiries; refers calls/inquiries to appropriate personnel in a timely manner. Checks and replies to BMC e‑mail frequently during shift.
Checks voice messages and follows up during the shift. Logs into the pulmonary function test (PFT) extension at the start of each shift, following breaks and lunch, and logs off at the end of shift.
Uses manual/ computer programs/terminal for access & data entry of patient information, verifies and updates as necessary, prints reports, faxes as needed, orders items, schedules appointments, verifies information, etc.
Answers patient call lights in a timely manner and immediately, if possible. Responds to patient requests within scope, seeks assistance from clinical team as appropriate. Follows up on call light requests to ensure nursing staff has responded.
Maintains communication data: computer, charge/white boards, daily communication sheets, assignment sheets, updates room name tags, precaution labels, etc.
Participates in orienting patients to their room, call light, telephones and unit by distributing welcome letters and informational packets.
Initiates daily RN phone assignment, logs RN daily phone numbers, and demonstrates appropriate procedures to triage calls through patient call system.
Secures patients’ personal property and belongings according to hospital procedures, e.g., labeling belongings, sending valuables to the safe. Keeps a patient belongings list for every patient, copies it at discharge and files in designated location.
Monitors healthcare computer software systems (i.e., SCM, SDK, GE) and Bed Board for new discharge orders, prints summaries, places summaries in chart, makes clinic appointments prior to discharge, documents as required.
Handles and distributes mail, flowers, gifts, etc. Facilitates patient/family/visitor access to hospital services such as cafeteria, chapel, gift shop, parking, cashier.
Identifies emergency situations and initiates appropriate responses. Familiar with area disaster plan.
Coordinates and schedules transportation for patients and materials, e.g., VA, chair car, patient transport, medical records, specimens, blood products, requisitions, using computer software/terminal.
Interfaces among departments to ensure patients, families, visitors and staff receive needed services and materials.
Initiates resolution of questions or discrepancies; refers issues to appropriate team members as needed.
Performs office clerical functions: photocopying, fax transmissions, ensures copier paper, requests service.
Coordinates unit communications: places alpha numeric text pages to physicians, calls family members, etc.
Assists with patient admission, discharge and transfer processes by obtaining insurance pre‑approvals, verifying demographics, completing free‑care applications, creating medical records.
Medical Record and Order Entry
Prepares charts and labels on admission; places clinical pathways in bedside charts.
Maintains complete and accurate medical records by filing results and treatment documents, chart thinning and replenishing forms.
Labels precaution charts and supplies precaution signs for patient rooms.
Retrieves and enters laboratory and test results; communicates findings to clinical team.
Schedules and books patient appointments; follows approved scheduling policy.
Checks chart completeness; obtains discharge summaries; recopies and replenishes chart forms.
Transcribes orders accurately and promptly.
Coordinates test/procedure scheduling, including pre‑test preparations; communicates schedule changes to patients, families, providers.
Maintains administrative logs, diet lists, census sheets, supply log, and patient board.
Maintains downtime materials box, including Doctor’s Orders, Progress Notes, lab orders; accesses downtime computer and printer as needed.
Care of the Environment, Equipment and Material Supplies
Conducts daily rounds to ensure safety and cleanliness; contacts appropriate departments to address issues.
Logs work/repair orders; uses software to track issues and return borrowed equipment.
Completes daily patient charges/billing with accurate codes.
Checks inventories, orders, and restocks supplies at par level using ordering systems.
Participates in search for missing patients, belongings, and equipment.
Maintains and troubleshoots office equipment: computer, printer, fax, monitors.
Work Rules, Standards, and Competency Compliance
Conforms to hospital performance standards, patient rights, and behavior standards.
Works cooperatively with staff and resolves conflicts; seeks assistance as needed.
Participates in staff meetings, quality improvement projects, and committee meetings.
Complies with policies, procedures, protocols, and regulations such as DPH, Joint Commission, Fire Codes, OSHA.
Follows conduct, attendance, safety, and infection control policies.
Engages in ongoing education to maintain competency.
Maintains accurate annual educational record.
Wears uniform, displays ID badge, and presents a professional appearance.
Assists in orientation of new staff and provides resource support.
Adapts to changing patient and unit needs, including floating and running errands.
Coordinates break periods with unit activities.
Remains knowledgeable of work rules and policies such as hours, attendance, punctuality, uniforms.
Supports hospital mission and goals.
Follows infection control and safety procedures.
Other Duties Performs other duties as needed.
Job Requirements
High school education or GED.
One to two years of previous clerical experience; healthcare setting preferred.
Competency requirements as offered.
Proficiency with Microsoft Office and hospital systems (SEM, IDX, SDK, etc.).
Ability to use and troubleshoot basic office equipment.
Excellent interpersonal skills and ability to work in a fast‑paced environment.
Organizational skills to effectively set priorities and complete assigned work.
Physical ability to meet core job requirements.
English speaking, reading, writing; multilingual skills preferred.
