Overview

Administrative Assistant - Rotation Coordinator provides administrative support for the Pediatric Residency Program and assists with the Neonatal-Perinatal Fellowship as needed. This role is primarily responsible for coordinating and managing the day-to-day scheduling of residents, ensuring accuracy, compliance, and smooth program operations. Candidate MUST reside on the island of Oahu, Hawaii.

Hawaii Residency Programs, Inc. is an independent, not-for-profit corporation that provides administrative support for medical residency programs and employs the physicians-in-training.

Responsibilities

  • Rotations and block scheduling to maintain accurate block schedules for Residents and/or Fellows
  • Schedule coordination between the program and Chief Medical Residents
  • Resident evaluations on a semi-annual and end-of-year basis
  • Point of contact for pediatric visiting residents and faculty
  • Accreditation and administrative duties including monitoring program email
  • Assist with coordination of program events
  • Assist Program Administrator in maintaining and documenting program administrative procedures
  • Attend scheduled HRP and program meetings as assigned
  • Occasionally perform off-site errands
  • Other duties as needed

Qualifications

MINIMUM QUALIFICATIONS

REQUIRED

  • High School Diploma or equivalent
  • Intermediate to advanced proficiency in Microsoft Office Suite
  • Basic knowledge of SharePoint and Adobe Acrobat Pro
  • Must be able to work with web-based applications, learn and adapt to educational software (e.g., New Innovations, ACGME ADS, etc.)
  • Ability to manage multiple and sometimes changing deadlines and priorities
  • Ethical, professional, courteous, resourceful, and proactive behavior
  • Ability to be a team player, flexible, and work under pressure
  • Access to transportation to attend occasional off-site meetings

PREFERRED

  • Related Associates or Bachelor’s Degree
  • Minimum 3 years of administrative or equivalent experience
  • At least 1 year of Graduate Medical Education (GME) experience
  • At least 2 years of administrative experience in the Academic and/or Health Care setting
