The Department of Psychiatry & Human Behavior includes clinical and research faculty, residents, fellows, and staff with a combined annual budget of over $32M. Under the general direction of the Department Administrator (DA), the Executive Assistant provides executive-level administrative and decision-making support to the Chair and CAO in the Department of Psychiatry and oversees daily and long-range activities for the Chair. The role requires independent judgment, high organizational skills, handling sensitive and confidential correspondence, and managing projects related to patient care, office operations, and research. Occasional travel between Medical Center offices, the UCI main campus, and affiliated sites may be required. Your Role on the Team Apply professional concepts to conduct analytical studies or projects of moderate scope and complexity to address policy, research, and procedural issues. Fully analyze issues, gather data, evaluate alternatives, and make sound recommendations. Coordinate administrative functions for projects, including prioritization of workload, resource allocation, and maintaining required resources within the Psychiatry administrative offices. Partner with department leaders to assist in process improvement and problem solving in the delivery of program services. Uses sound judgment in responding to issues and concerns. Analyzes, researches, and synthesizes large amounts of data with attention to detail. Multi-tasks effectively within demanding timeframes. Applies knowledge of policy analysis techniques and collaborates with colleagues to achieve results. Proficient in MS Office (Outlook, Word, Excel, PowerPoint). Ability to negotiate through multilayered regulatory systems, manage competing priorities, and seek guidance from the supervisor when needed. Problem-solving skills used tactfully and diplomatically. Bachelor’s degree in a related area and/or equivalent experience/training. Minimum of 1 year of administrative experience. Preferred Familiarity with UCI systems and processes (e.g., QGenda, CMS Time Study, OATS). Special Conditions May require occasional travel between administrative offices at the Medical Center, UCI main campus, and affiliated sites. May require occasional evening or weekend hours to meet deadlines for special projects. Hybrid (on-site 3 days/wk and remote 2 days) possible.
