Executive Assistant
Are you a proactive, detail-oriented Executive Assistant ready to support senior leaders at a high level? We have an outstanding opportunity for a dynamic professional to make a meaningful impact in an organization that values diversity, equity, and inclusion (DEI).
Pay Range: $42.72–$47.28 per hour
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Duration: 1-year assignment, with the potential to extend
Role Overview:
Provide high-level administrative and project coordination for senior leaders. Your work will focus on complex calendar management, shared inbox triage, preparation of meeting materials and documentation, and tracking actions through to completion. You will anticipate executive needs, facilitate internal and external communications, and proactively solve scheduling challenges to ensure critical initiatives—such as interviews, focus groups, and culture/engagement activities—progress seamlessly.
Key Responsibilities:
- Advanced planning and coordination of interviews, forums, and executive meetings across time zones
- High-volume calendar management, scheduling, rescheduling, and conflict resolution
- Managing and triaging a shared inbox for leadership groups and employee engagement
- Preparing and distributing meeting agendas, minutes, and action items; meticulously tracking follow-up tasks
- Coordinating logistics for meetings, roundtables, onboarding, and periodic reviews
- Anticipating and surfacing scheduling bottlenecks or risks, proposing solutions to keep everything on track
- Handling executive travel, expenses, presentations, and sensitive documents with utmost professionalism
- Monitoring expenditures, providing status updates, and supporting less experienced colleagues
Qualifications:
- High school diploma or GED required
- At least 3 years of high-level administrative experience supporting executives preferred
- Demonstrated skills in written and verbal communication, prioritization, and advanced calendar management
- Strong attention to detail, proactive problem-solving ability, and a commitment to following through on action items
- High discretion in managing confidential information
- Proficiency in calendar/email suites, MS Office/Google Suite, and video conferencing tools
- Comfort with basic data tracking and dashboard/reporting tools is a plus
