What You'll Do: Your Essential Role in Patient Access

As our Medical Secretary / Patient Access Representative, you'll manage the critical administrative functions that keep our clinic running efficiently and compassionately:

  • Front-Line Patient Advocate: Be the professional first point of contact, greeting and checking in patients with warmth and efficiency, both in person and over the phone.

  • Data Integrity & Registration: Accurately collect and enter complex patient demographic, insurance, and financial information into our EHR system (EPIC proficiency is a must!). Ensure all necessary consents, including HIPAA forms, are completed.

  • Scheduling & Coordination: Expertly manage provider schedules, booking and rescheduling appointments, confirming upcoming visits, and following up on cancellations and no-shows.

  • Financial Clearance Guru: Verify insurance eligibility, benefits, and coverage. You'll be responsible for obtaining essential pre-certifications, authorizations, and referrals. You will also collect co-payments and outstanding balances at the time of service.

  • Administrative Backbone: Maintain strict patient confidentiality in adherence to all HIPAA regulations. Keep patient records organized, manage the front desk area, and handle general clerical duties (faxing, scanning, data entry).

What You'll Bring: Qualifications for Success

  • Education: High School Diploma or GED is required.

  • Experience: Previous experience working in a medical office, hospital, or other healthcare setting is essential.

  • Technical Expertise:

    • Required proficiency with EPIC and other scheduling software.

    • Strong knowledge of medical terminology, billing, and insurance processes.

    • Excellent data entry and computer skills, including proficiency in the Microsoft Office Suite.

  • Key Skills: Exceptional customer service, professional demeanor, superior organizational abilities, and an uncompromising attention to detail.
