ADMINISTRATIVE ASSISTANT - Swainsboro, GA
Monday - Friday
Pay: $15+
The position will be a shared position responsible for assisting the Divisional Accountant in various accounting and clerical tasks related to the maintenance and processing of monthly accounting functions in a timely and accurate manner; as well as administrative duties for operations which include daily reporting along with the tasks listed below:
MAJOR RESPONSIBILITIES:
•Administrative
oGreet and direct visitors.
oSend outgoing mail and distribute incoming mail.
oArrange lunch for mill, procurement, reliability, and any other functional department.
oMaintain and requisition all office supplies.
oSchedule conference rooms.
oMaintain employee message board.
oAny other administrative tasks deemed necessary by the Manager or HR.
•Operational Reporting / Data Entry
oEnter all work orders and planer consumption in inventory system.
oUpdate Daily Files.
oReview production entered from previous night by operations employee for accuracy.
oReconcile bills of lading to shipments (makes sure all BOLs are "shipped").
oAd Hoc Accounting/Operations Reporting.
oReconcile inventory
oCalculate usage and reconcile receipts and shipments.
oReview production volume vs. forecasts; work with Divisional Accountant on providing commentary if +/- 25%.
oHandle all duties required for the Business Review
•Inventory
oEnter inventory adjustments in application.
oAssists with month end inventory counts.
oResearch inventory deviations to determine possible causes and communicate this to management via periodic reports.
oAssist with fixed asset inventory audits.
oCommunicate observed internal control violations to Divisional Accountant for handling.
•Accounts Payable/Purchasing
oCreate check requests, procure approvals, scan and send
oCommunicate and correspond with USSE Operations AP staff to ensure timely process of vendor payments.
oCollect purchasing documents (receiving documents & PO's) and files at the main office.
oMaintain purchasing card receipts and logs
•Human Resources
oAd Hoc Human Resources Reporting & Duties.
oDistribution of bi-weekly payroll checks to hourly staff.
oAssist with scanning of documents in SharePoint
oAssist with Temp Employees Timesheets
oAssist with Filing
oStraighten and maintain supply room
oAssist with hiring interviews and combines as needed by HR
oAssist with new hire folders
•EHS
oSupport for employee safety meals and events.
oAd Hoc EHS Reporting & Duties.
oAssist with helping maintain safety records including training records, JSAs, safe work cards, etc.
REQUIRED COMPETENCIES:
•Positive, proactive, detail-oriented and driven to succeed.
•Effective organization, planning, implementation, and follow up skills.
•Excellent interpersonal and communication skills and ability to work effectively in a highly interactive team environment.
•Strong Microsoft Excel skills.
•Willingness to work a flexible schedule.
•Knowledge of HR confidentiality
REQUIRED EDUCATION, EXPERIENCE, AND / OR TRAINING:
•Post-secondary degree in Business/Accounting/Finance is preferred but not required.
