Position Overview


The Administrative Assistant supports the day-to-day operations of our Administrative Department and plays a key role in ensuring clients and team members are well cared for. Success in this position relies on strong communication, organization, attention to detail, and computer skills, along with a willingness to learn and support others.

Requirements:


Key Responsibilities

  • Greet and welcome clients in person and by phone with a warm, professional demeanor; offer refreshments as appropriate.
  • Process agency inboxes (email and text) and route messages to team members as needed.
  • Manage daily downloads from insurance company partners and assist with setup as needed.
  • Assist with light bookkeeping tasks.
  • Deliver outgoing mail to the post office as needed.
  • Monitor and restock office supplies.
  • Provide basic technical support to team members.
  • Perform other duties as assigned.

Qualifications & Competencies

  • Previous office experience is strongly preferred.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, Teams).
  • Ability to lift up to 50 lbs.
  • High level of discretion and confidentiality.
  • Cheerful, confident, and professional demeanor.
  • Excellent organizational, communication, and time management skills.
  • Able to manage multiple tasks and deadlines in fast-paced environment while paying close attention to detail.
  • A team player who is collaborative, dependable, and open to feedback.
  • A willingness to ask for help when needed, take responsibility for and admit mistakes and be teachable.
  • Strong problem-solving and critical thinking skills.
  • Willingness to learn insurance concepts (Property & Casualty license a plus).
  • Motivated, self-starter, and eager to take on new challenges.
