      Position Overview

      We are seeking a highly organized, proactive, and discreet Executive Secretary to provide top-tier support to the Owner and Executive Leadership Team. This role requires someone who thrives in a dynamic environment, excels at managing priorities, and is passionate about keeping operations running smoothly behind the scenes. The ideal candidate is a strong communicator, skilled planner, and dependable partner who can anticipate needs and execute with precision.


      Key Responsibilities
      • Answer and screen phone calls; relay accurate messages to the Owner and executives.

      • Manage complex calendars, schedule meetings, and coordinate domestic and international travel.

      • Prepare high-quality reports and documents with accuracy and professionalism.

      • Anticipate the needs of executives and proactively offer support.

      • Prioritize and manage incoming requests and communications.

      • Handle confidential and sensitive information with the utmost discretion.

      • Track project deadlines and ensure timely follow-ups on action items.

      • Support internal team communications and help coordinate company events.

      • Perform general administrative duties such as filing, document organization, and reporting.

      • Take ownership of special projects and ensure successful execution.


      Required Qualifications
      • Proven experience in an administrative or executive assistant role supporting senior leadership.

      • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

      • Strong verbal and written communication skills.

      • Excellent organizational and multitasking abilities.

      • Skilled in taking accurate notes and preparing meeting summaries.

      • Flexible, dependable, and able to adapt in a fast-paced environment.

      • Collaborative team player with a proactive, solutions-oriented mindset.
