Position Summary
This position provides administrative and clerical support to the HR Department, assisting with scheduling, personnel files, onboarding documentation, and departmental communications to ensure efficient daily operations.
This role supports HR leadership and collaborates with the HR Director, HR Generalist, HR Recruiter, and Employee Health Nurse to maintain accurate, confidential records and ensure timely processing of documentation. Responsibilities include managing the HR mailbox and fax, coordinating schedules, and assisting with updates in the HCM/HRIS system.
Based on departmental needs and performance, this position may transition into or expand to include additional duties related to Leave of Absence (LOA) and FMLA administration in compliance with State and Federal regulations.
Key Responsibilities
Provide administrative and clerical support to the Human Resources Department.
Manage the HR mailbox and fax; route correspondence to appropriate HR staff.
Assist with scheduling department meetings, interviews, orientations, and training sessions.
Maintain and organize confidential personnel files, employee records, and onboarding documentation.
Support HR staff with compliance tracking, audits, and reporting.
Assist in processing employee status changes in the HCM/HRIS system and coordinate IT access setup or changes as directed by HR leadership.
Coordinate with internal departments, Employee Health, and Payroll to ensure accurate and timely completion of HR documentation.
Prepare and format HR correspondence, forms, and reports.
Maintain up-to-date department calendars and track recurring HR activities such as evaluations and license renewals.
Demonstrate professionalism and confidentiality in all HR-related matters.
Requirements
High school diploma or equivalent required.
Coursework or an associate's degree in Office Administration, Human Resources, Business Administration, or related field preferred.
One (1) year of administrative or office experience required.
Human Resources or healthcare experience preferred.
Proficiency with Microsoft Office (Word, Excel, Outlook)
