About the Role:
A well-established contractor in the Myrtle Beach area is seeking a highly organized and detail-oriented Construction Office Manager to oversee daily office operations and provide critical support for construction project administration. The ideal candidate will bring both general office management expertise and a strong understanding of construction industry practices.
General Office Responsibilities:
Manage general office functions, including mail (incoming/outgoing), emails, filing, and recordkeeping
Reconcile receipts for petty cash, credit cards, etc., and transmit to Accounts Payable
Collect and transmit any new hire paperwork to Human Resources
Submit approved employee timecards and maintain accurate records to enable payroll processing (by HR)
Maintain office business license records and facilitate renewals when applicable
Operate office equipment such as printers, scanners, and multi-line phone systems.
Order and maintain office supplies as needed.
Maintain awareness of and support general construction safety best practices.
Ensure consistent, accurate, and reliable communication occurs with the corporate office.
Project Support Responsibilities:
Support accounts receivable processes, including AIA invoicing procedures using various web-based submissions
Prepare and process release of claims/liens.
Understand and apply retainage practices.
Assist with creating bid packages and transmitting bids or quotes for work when appropriate
Issue subcontract agreements and purchase orders to subcontractors and vendors/suppliers upon Project Manager approval.
Review, process, and track project submittals (multiple projects).
Draft and distribute Requests for Information (RFIs) upon request.
Other miscellaneous project administration tasks as assigned
Qualifications:
Proven experience in office management, preferably within the construction industry.
Knowledge of AIA invoicing and construction project documentation.
Strong organizational skills and attention to detail.
Excellent written and verbal communication abilities.
Ability to multitask and prioritize in a fast-paced environment.
Strong computer skills, including MS Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
