Temporary Assistant Property Manager
Company The Douglaston Companies
Role Overview We are looking to build the best teams possible with highly motivated and engaged employees. This position offers an exciting opportunity to join our property‑management team in a collaborative and supportive environment.
Essential Duties And Responsibilities
Answer phone calls from residents, vendors, and agencies.
Maintain organized office space and assist in ordering required supplies.
Assist leasing department in obtaining necessary documents for resident files.
Create and maintain work orders for the property.
Act as liaison between residents, maintenance staff, vendors, and management.
Address resident inquiries regarding rent payments and charges.
Ensure resident requests are responded to promptly, within 24 hours.
Provide administrative support to Property Manager and Resident Manager.
Assist team members with required trainings and scheduling.
Prepare vacant apartments for move‑in and walk them with managers.
Coordinate move‑ins, move‑outs, and tenant files with the main office.
Process move‑outs, including scheduling inspections, completing paperwork, and uploading documents to Yardi.
Monitor and update building parking space files, upload documents, and update vehicle information.
Maintain monthly extermination reports.
Perform all other tasks and special projects as required by management.
Qualifications
2–5 years’ experience in an administrative role within a Property Management office or related field.
Bachelor’s degree preferred.
Bilingual in Spanish/English preferred.
Strong customer service experience.
Proficient with Microsoft Office Suite (Word, Excel, Outlook).
Previous Yardi or property‑management software experience required.
Ability to work on multiple projects in a timely manner.
Strong organizational skills with attention to detail.
Excellent communication skills, both written and verbal.
Self‑starter who can work independently and as part of a team.
