Overview
Position Summary The Assistant Property Manager is responsible for assisting the manager in effectively managing the assigned property. In the Manager’s absence, the Assistant Property Manager will assume all responsibilities associated with accomplishing the property objectives as set forth by the Property Manager and Asset Manager. Essential Duties and Responsibilities
Answers and handles incoming phone calls from prospective new residents, current residents, vendor / suppliers, etc. Greets prospective residents, shows property and performs leasing duties as needed Works with lease renewals each month; show prospective residents vacant apartments Update required reports concerning move-out notices, activity, etc., on a daily basis and provide information to manager Maintains accurate resident records. Updates on a daily basis all rents, deposits and application fees received by residents and applicants. Issue appropriate notices when necessary (e.g., late payments, eviction notices, returned check memos). Manage resident re-certifications, rent increases, utility allowance changes, occupancy level, controlled expenses, customer satisfaction, management reviews, REAC / Agency Inspections, etc. Organize and file all applicable reports, leases and paperwork Maintain positive resident relations attitude. Process move-ins and move-outs. Respond to life safety emergencies and other critical incidents; coordinate the response of site personnel and the notification of public safety agencies. Accepts work order requests from residents and routes to maintenance for prompt processing. Maintain communication with residents; coordinate resident services programs; meet in-person with tenants, handle requests for assistance; investigate and resolve complaints from tenants. Be well versed in all property management documents. Physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff. Will also inspect move-ins, move-outs and vacancies when requested Stay up to date on market conditions, and other neighborhood properties Other duties as assigned. Minimum Qualifications (Knowledge, Skills, and Abilities)
Bachelor’s degree in related field preferred; appropriate experience in on-site property management (some affordable housing preferred); or equivalent combination of education and experience Expertise in office software such as Microsoft Word and Excel Understanding of NJ and / or NY housing codes Excellent communication and organizational skills Strong project management skills and attention to detail Able to handle stressful situations; professionalism Able to work independently and follow through Effective decision making; ethical Able to apply principles of logical thinking to define problems, collect data and draw valid conclusions Valid driver’s license and vehicle Physical Demands and Work Environment
Frequently stand, walk and sit to inspect and present the property; and use computer Occasionally bend, stoop, climb stairs, push / pull, reach with arms and above shoulder, filing Frequently is required to use hands or fingers, handle or feel objects, tools, or controls Regularly required to talk or hear Able to perform close vision, distance vision, and the ability to adjust focus (read forms and papers) Frequently need to lift and move less than 25 pounds; occasionally lift and / or move over 25 pounds. Frequently need to utilize personal transportation to inspect apartment property and surrounding neighborhood; valid driver’s license and auto insurance Most work in indoors, but frequently outdoors in all weather conditions. May be occasionally exposed to caustics, solvents, oils, fumes, pesticides etc… Noise level in the work environment is usually low to moderate.
