Blue Ridge Power is looking to hire a Subcontracts Specialist. The Subcontract Specialist is responsible for drafting, routing, executing and managing construction, temporary labor, Master Agreements and other Subcontract types as required. This individual will work with multiple project teams throughout the organization to ensure Subcontractor compliance is met. This position will report to the Manager of Commercial Contracts.
What You'll Do: Responsible for Subcontract lifecycle, from drafting to closeout Receive Subcontract requests, draft Subcontracts and issue for review and execution – work with necessary disciplines to ensure scope of work, pricing and schedule is accurate and complete. Ensure Subcontractors are pre-qualified prior to executing an agreement and have a valid COI prior to performing work onsite. Ensure all appropriate attachments and exhibits are included in the Subcontract. Negotiate Subcontract terms, using both Legal and Project teams' assistance when required. Organize and manage Subcontract negotiation meetings. Finalize Subcontracts and send to correct signatory for execution. File all Subcontracts, Change Orders, correspondence, close out items, deliverables, etc. into SharePoint. Perform Subcontract post-execution administration duties, including Change Order management, contractual compliance, invoice verification, performance evaluation, and records retention. Carry out Subcontract close out process when required. Draft, circulate, and manage Change Orders Receive and review Change Order requests. Support Project Managers with review of Subcontractor Change Orders. File all correspondences, Change Orders, and other documentation as required. Maintain Change Order and Change Order Request logs. Provide support to Project and Accounting teams Assist Project Managers with settling any remaining Change Orders if required. Support Project Managers with Subcontractor invoice review to ensure compliance with Subcontract terms. Monitor Subcontractor cost invoiced against overall Subcontract value. Assist with drafting correspondence to Subcontractors (ex. quality issue, rejected invoice). Support Project Managers to ensure all final invoices and deliverables are received. Assist with close out meeting and lessons learned, if required. Enter all executed Subcontracts, Change Orders, and invoices into accounting software (IFS). Troubleshoot all Subcontract, Change Order, and invoice entries that present issues in IFS. Additional duties Leads/participates in assigned Subcontract project meetings to ensure schedule, priorities and expectations are being met. File all deliverables received and prepare for turnover to BRP clients, if required. Notify Subcontractor formally of any deficiencies throughout the warranty period. Receive Substantial Completion and Final Completion certificates from Subcontractors. File and work with Project Manager/signatory. Maintain executed copy. Promote discussion and review of Subcontractor performance. Assist in maintaining Subcontractor database. All other duties as assigned Must-Haves 3+ years of contracts and/or subcontracts experience in the energy industry, preferably in solar or renewable energy. Strong computer skills, including but not limited to Excel, Word, Adobe Acrobat, and DocuSign. Demonstrated success in drafting, reviewing and negotiating Subcontracts. Ability to draft concise scopes of work and clear pricing structure to effectively communicate expectations contractually to Subcontractors. Strong oral and written
communication/interpersonal
skills. Ability to effectively communicate expectations and concerns to Subcontractors and project management team members. Collaborative decision-making abilities. Strong organizational skills and proficiency in data management and record keeping Working knowledge of MS Office suite, including Word, Outlook, and Excel. #-Remote
